Microsoft Dynamics GP Delivers Lofty Results for Hotel Management Company

Community Member Profile Picture Community Member

A highly respected, midsize hotel management corporation was facing certain angst regarding the proper upgrade for their robust platform of Microsoft Dynamics GP. This company had allowed their MS Dynamics GP maintenance contract to expire. Rather than pay for the renewal and on-premise upgrade fees, they wanted to explore the possibility of hosting their Dynamics GP as a cloud-based solution.

With Microsoft Dynamics GP there are three different licensing options. Traditionally, a Microsoft Dynamics GP license is purchased and it is installed at their location on their server. You can also purchase the software license and then have it hosted off-site by another, hosting company. Companies can also use SPLA (Microsoft’s Services Provider License Agreement) to basically rent the software and have it hosted for them by a Microsoft Dynamics certified SPLA partner.

Subscription cloud-based licensing for Microsoft Dynamics GP is not only highly effective, it can be more economical and less troublesome to execute. Being hosted remotely in the cloud means there aren’t any hardware or server issues to contend with. There are no more worries regarding server upgrades or server maintenance problems. It also eliminates the need for a dedicated IT resource. Many start-ups rely on cloud-based SaaS (software as a service) applications so they don’t have to pay out a hefty amount of capital to purchase servers, hardware, and on-premise software. Doing a cost benefit analysis over five years proves that for many companies this can be the more economical choice.

This hotel management company has 23 active hotel databases and more than 40 inactive databases, all of which they need access to 24/7. There are many remote users who must be able to work proficiently and effectively in GP. These remote employees need the ability to enter accounts payable and receivable transactions and access real-time data and reports from their locations worldwide. They decided that licensing Microsoft Dynamics GP through SPLA made the most sense.

We recommended Rose ASP, the partner we use to host “full client” Microsoft Dynamics GP in the cloud for their project. Rose Business Solutions takes total responsibility for ensuring 24/7 access “uptime,” for completing backup, and positioning a recovery plan. Like most hosting companies, Rose charges for the first- and last-month fee in advance and a one-time start-up payment.

This project took about four months to fully design and implement. The hotel management organization is thrilled because this solution is a perfect fit for their needs. They wanted to pay a fixed amount monthly, they wanted access to GP at all times, and they did not want to worry about servers and hardware or maintenance and upgrade fees.
