10 Ways Teamwork Works for Project Management
This week, we are highlighting a new project management software, Teamwork, that Ledgview employees use to collaborate, share ideas, move projects through their cycles, and more.
Here are some of the benefits our team has realized with the platform that we think you can benefit from, too:
1. Teamwork is Cloud-Based
Teamwork is great for organizations that have a mix of in-house and remote employees.
Because the software is cloud-based, you can work from anywhere at any time on whatever compatible device you want.
2. Projects Have Customizable Features and Alerts
Teamwork projects have customizable features that you can get alerts on. You can turn these alerts on or off based on individual preferences.
Some key reports and dashboard features in Teamwork include:
- Task List Report
- Gantt Chart (See #7)
- Board View
Plus, Users can use the Notebook feature in Teamwork to share important project notes and updates with clients. Notebooks are great for summarizing meeting notes and keeping everyone on the same page.
Valerie Lingen, a Senior Business Analyst at Ledgeview Partners, attests to the benefits of using the Gantt Chart in Teamwork.
“My favorite area of Teamwork is the Task Lists that automatically create Gantt Charts,” Lingen says. “It is a very time-efficient tool. As we make progress on the Task, you can set ‘% Complete’ and add comments, so customer decisions are always documented.”
3. Different Subscription Plans are Available
Depending on the size of your team, you can choose from a variety of subscriptions to fit your needs.
The free plan allows you to add up to 5 users, have 2 active projects, and gives you 100MB of file space. You can create sub-tasks, choose from different color themes, and see basic components.
From there, the price and features go up to pro to premium to enterprise. The software is very affordable for its features and functionalities.
4. Users Are Assigned Different Levels of Ownership
You can assign some or all team members administrative privileges, but, often, you want to limit these roles to project managers or leads.
Once Users are added to a project, administrators can select their project permissions. It is very customizable in this way.
All Users can set up their own passwords and project profiles themselves, per their preferences.
Whatever subscription you choose, Teamwork User invitations for “Collaborators” are available at no additional cost. You only have to pay for Administrator licenses. Collaborators can comment, upload files, and be assigned tasks.
5. Tasks Lists Keep Team Members on Track
Task lists keep users on track. You can organize them by project, person, or another topic or group you deem fitting – it’s up to your administrators!
You can also save task lists as templates if you find you are using them often. That way, you save time and don’t have to go through the recreation process through every project.
This is especially helpful to help guide you and your team through standardized procedures.
Users can also create project templates where milestones and tasks are predefined, making the start of new projects that much faster and more efficient.
6. Creating Tasks is Quick
Creating tasks takes little time to do, and you can easily assign it to one team member, select a start and end date, and list task details.
If you don’t know who the task should be delegated to yet, you can leave it open for people to claim or assign it later.
Sometimes, you can’t move on to other tasks until another is started. Teamwork helps you be systematic by alerting you about these stipulations. It also helps individuals delegate their own schedules better. Users can even log time for their task or project.
7. Visual Options are Available
For visual people, the Gantt chart easily allows users to connect tasks, move and edit them; and, whatever you do in this chart is changed instantly in the project in the original view.
8. Calendar Feature Replaces Need for Outlook or Google Calendar
You’ve probably used and experimented with a lot of systems, but if you like to keep everything in one place, Teamwork lets you do this with their calendar feature, so whether you have a meeting, are going to be out of the office, or need to list another appointment, you can do so in the same system.
You can also set notifications for these events or appointments in Teamwork.
9. Teamwork Responds to Email Commands
You can log everything from your Teamwork email client, respond to comments, and even create new tasks, offering you more ways to connect and immerse yourself in the platform.
10. Teamwork Increases Team Efficiencies, Boosts Collaboration
Ledgeview can’t get enough of Teamwork’s “robust functionality.” Part of the reason Melissa Green, a Senior Business Analyst at Ledgeview Partners, loves working in Teamwork is because of its ability to create more collaboration.
“Details, comments, notes, agendas, etc. only have to be entered once, and all who need to see it can interact,” Green says. “Teamwork is very intuitive and robust in functionality without being overly complicated. It is flexible in that you can set it up and work with it in very different ways as you see fit from project to project.”
Lingen says Teamwork’s flexibility creates higher collaboration for team members that both Ledgeview’s employees and customers appreciate.
“I love how Teamwork offers a method of collecting the project details that we can share with our customers,” Lingen says. “The customer knows the status of all the moving parts of a project at a quick glance. In the past, I had to send many emails to the customer, which, at times, would go unread. Overall, the system is very user-friendly.”
Ledgeview supports Teamwork as a pertinent tool to boost a team’s collaboration, efficiencies, and organization.
