How to Sync Master Data Across Companies in Microsoft Dynamics 365 Business Central

Khushbu Rajvi. Profile Picture Khushbu Rajvi. 19,517 Super User 2025 Season 2

In many business scenarios, organizations operate with multiple companies or legal entities that share common customers, vendors, or other master data. Manually keeping this data in sync across entities can become tedious and error prone as the number of companies grows.

To make life easier, Microsoft Dynamics 365 Business Central provides a built-in feature to synchronize master data across companies.

This feature isn’t just for large organizations — even consultants and implementers can benefit from it for one-time data transfers, avoiding the extra steps involved in using Configuration Packages.

For this demo, Evaluation Company is set as the Source Company

and New Company is set as the Destination Company.

We’ll be setting up a uni-directional sync, meaning data will flow from Evaluation → New.

Search for Master Data Management Setup in the destination company (New).

Here, select your Source Company (in this case, Evaluation) and enable synchronization.

Click on Synchronization Tables to view the list of available tables.

By default, all tables are enabled — but you can disable the ones you don’t need.
You can also add custom tables or apply filters to limit synchronization (for example, syncing only customers from a specific region).

You can enable or disable multiple tables using the Enable and Disable actions — simply select the tables you want to modify.

For this demo, I am enabling only the Vendor table, and you can see the applied filter.

Next, specify which fields to sync and decide whether changes from the source company should overwrite existing data in the destination company.

If “Overwrite Local Changes” is set to false, the sync will skip those fields and record the issue in the Synchronization Log.

You can choose between the following synchronization modes:

  • Full Sync: Creates missing records from the source company.

  • Match-Based Coupling: Matches records based on key fields and creates new ones if not found.

Once ready, click Start All to begin the synchronization process.
This is typically a one-time setup — after which scheduled jobs automatically keep data updated between companies.

After syncing, you’ll see the results and can verify data consistency between the two companies.

As long as Enable Synchronization is set to true, Business Central will continue to keep your master data in sync.

Example: When you create a new vendor in Evaluation, it will automatically appear in New within seconds.

Switch to the New Company, and you’ll see that the vendor has been successfully synced.

🙌 Thanks For Reading...!!
