Data Migration in Microsoft Dynamics 365 Business Central

After setting up a new company in Microsoft Dynamics 365 Business Central, the next important step is migrating your business data. Even if you created the company using standard setup options, it only includes basic configurations.
To start using the system effectively, you need to bring in your real operational data — such as your chart of accounts, customers, vendors, and items.

Thankfully, Business Central provides built-in tools that make this process simple, guided, and accurate. In this blog, we’ll understand how data templates make migration easier and how you can import data from Excel using the Assisted Setup Wizard.

The easiest way to migrate data into Business Central is through the Assisted Setup Wizard — a built-in guided process that helps you import data from Excel or from supported systems like QuickBooks.

Select the Search icon on the top right corner. Type Assisted Setup and open it. In the Assisted Setup list, choose Migrate Business Data.

The Data Migration Wizard opens and gives you two options: Import data directly from another finance solution (if an extension exists). Import data from Excel, if no connector is available. If you’re unsure whether an extension exists for your system, click Open Extension Management to review the list.

Next, choose the source of your data: QuickBooks Online → You’ll be prompted to log in to your subscription. Excel → Best option if you’re migrating from a system without a direct connector. If using Excel, export your existing data into spreadsheet form — Business Central will help you align it correctly.

Click Download Template to get a pre-formatted Excel file. Each worksheet inside the file represents a specific type of master data, such as: G/L Accounts Customers Vendors Items Each sheet includes the necessary column headers (e.g., Customer Name, Posting Group, Currency Code, etc.) to ensure your data follows Business Central’s structure.
💡 Tip: Always use this downloaded file instead of creating your own — it prevents mapping errors during import.

💡 Tip: You don’t have to create the template manually — always use this downloaded file to avoid errors during import

Before importing, you can also define Data Templates by pressing the Settings button. These templates pre-fill default values for your Customers, Vendors, and Items, saving time and ensuring consistency across records.

Once your Excel file is ready: Click Next.

Upload the updated Excel file.

Verify the records and click on migrate. Business Central will automatically import and validate the data.

You can review imported records and make any necessary adjustments after validation.

The Assisted Setup wizard covers G/L Accounts, Customers, Vendors, and Items.
If you want to import additional data types (like opening balances, bank accounts, or dimensions), use Configuration Packages for more flexibility.

Thanks For Reading...!!😊
