Due date alert/ email notification feature in Microsoft Dynamics 365 Finance and Operations

In this blog, we shall talk about Due Date alert concept and its end-to-end configurations

Business Scenario

  1. CFO or Finance Controller wants to be notified from Dynamics 365, when any fixed asset policy expiry date is due, or due in next 1 day or any specific day
  2. CFO or Finance team wants to be notified by email when any Vendor hold release date is due or due in next couple of days or Vendor hold release date has been postponed by Finance user
  3. Accounts Payable or Receivable team wants to be notified by email, any vendor or customer transactions due date is crossed or due in next couple of days

 

Solution

For all the above scenarios, Microsoft Dynamics 365 F&O has the feature Called Due date alert., Lets explore the same functionality 

Pre-requisite- To get the email notifications from D365 for any email function, email parameter is needed to be configured with SMTP, Exchange server, this setup is articulated in my part 1 blog on this series, link shared above

Configurations

Due date alert is available in any form of Dynamics, hence based on the requirement, we need to navigate to the form where we want to avail this function

  1. Example- CFO or Finance Controller wants to be notified from Dynamics 365, when any fixed asset policy expiry date is due, or due in next 1 day or any specific day

For this case, we need to go to Fixed Asset form

Now, navigate to options in action pane->> Create a Custom alert

A new form will open, here we need to create the Due date alert, similar form as Change based Alert

Here we need to fill up all the details as below mentioned into the screen shot

Once done, click ok, all done

Lets check how this works

 

Navigate to Fixed Asset and select any Fixed Asset ID->>> update any fixed asset with policy expiration date today+5 calendar days for testing purpose

See, I got the email from D365, by the same subject and mail body which we have configured

  1. Example- We shall create another Due date alert for Vendor transactions where due date is due in next 3 days, Finance AP manager wants to be notified by email about the same due date

 

Navigate to Accounts Module->> Invoice->> Open vendor invoices

Same way we shall create the alert with due date field

Once done, lets create an invoice and check if the due date notification comes up

I have processed an invoice keeping the due date is in 3 days, and see below alert I received from D365

    @pranay, Thanks for your question, it is really a common and very good question, however sadly the same requirement can not be taken care by this standard solution, But, we can use the dynamic content by using "Power Automate with Business Flows"

    Hi Ramit, thanks for this informative article. Is there a way to add the some dynamic information in the message section of the notification e.g. vendor or customer ID/Name or invoice number. Idea is to customize the email body with the some vendor /customer information which is filled in dynamically. Thanks.
