Business scenario:
In an Order-to-Cash cycle leveraging Advanced Warehouse Management (WMS), there are instances when customers cancel orders at the last moment—right before invoicing. By this stage, the shipment and packing slip might already be posted, creating a time-intensive reversal process. Let’s explore how this situation can be managed efficiently. Let’s Run the scenario:
· Created a Sales Order for 20 Qty. Reserve the item and released the sales order for the warehouse.
· Reserve both the lines and release the sales orders to the warehouse.
· Warehouse work was created and we closed the warehouse work using the warehouse app.
· Confirm the shipment and post the packing slip from the sales order.
The Challenge: When the customer cancels the order before invoicing, reversing the packing slip directly becomes a hurdle. If you navigate to the posted packing slip, you’ll notice there’s no option to cancel it.
The Correct Approach:
To address this, you should always post the packing slip from the Load Form instead of the Sales
· Create a new sales order for testing. Confirm the shipment and post the packing slip via the Load Form.
· Once posted, the order status changes to "Delivered."
· You can now cancel the packing slip and reverse the shipment confirmation using the following steps:
a) We can cancel the packing slip and reverse the shipment confirmation.
b) On load lines click on reduce picked quantity to move the picked item to the designated location.
c) Input the designated location, and license plate, and enable the Reduce Load Line Quantity checkbox.
d) Click OK to move items back to their original location.
e) Repeat the process for all lines in the order.
Final Steps: Once the items are reversed, you may delete the load and shipment records. This will allow you to cancel the sales order as per your business processes.
Takeaway: This approach streamlines the reversal process, saving time and effort while adhering to the system’s best practices. By posting packing slips via the Load Form, you maintain flexibility to handle last-minute changes seamlessly.
