[How to] Configure Out of Box Automated Posting of Journal with recurring batch jobs

Dear Dynamics 365 Community,

Welcome to my next blog on automation of Journal posting by the standard functionality in Dynamics 365 Finance and operations.

Business Scenario

There can be multiple scenarios where our customer/partner need to have their journal to be posted automatically rather than posting manually every time. 

Few most common scenarios are as follows

1. Journals are created by data management through data entity in recurrence basis and those needs to be posted automatically in a continuous manner
2. Journals are created in Dynamics by integration approach from external system through middleware such as Azure etc., and those will be posted automatically in Dynamics every time the data comes to D365

Let’s explore the functionality

Configuration

To achieve this automatic posting by system, we shall setup a post Journal conditions and recurring batch job, along with the required criteria.

Step 1

Navigate to general Ledger Module -> Journal entries-> Post Journals

Step 2

Now we can determine which Journals to be auto posted and which will be kept for manual posting.

Scenario- IVJ Journal name is used for integration purpose and only this Journal will be auto posted by system.

Rest all other Journal Name used by users won’t be considered by this automation approach

To do this setup~

1. Select the “Late selection” criteria below

          2:Select the Journal criteria which will be used for automatic selection

        3; Add the condition in the filter

      4: "Run in the background" to enable the recurring batch job to post the future Journals added into the selection

   5: Select the recurrence criteria/ occurrence time 

To validate if the batch job is created and running continuously, navigate to System Administration- Enquires->Batch Jobs-> Post Journals batch is in waiting state (always will be in waiting)

Let’s validate the process if working as per the expectation

We have two journals, one IVJ Journal came from integration and another APINV Journal Name is created manually, hence expectation is only IVJ will be auto posted by system.

Lets wait for the batch to run and post this, see below, this was posted automatically

We can also check the batch log for any error or success, for our case it was success, see below the success text in the batch

The requirement is met, the process is working
