Community Member Profile Picture Community Member

As employees come and go from your company you will need to add and remove user licenses from your O365 portal. In this blog post you will learn how to add a brand new user and assign a user license to them as well as assign the correct security roll within Microsoft Dynamics CRM.

1. As an Admin login to O365 at portal.office.com and navigate to the home page

2. On the home page you will see a link to +Add User

New User 1

3. When you click the +Add User link the right side of the screen will pop open and you can begin to add the users info.

4. Unless the new user is going to be a an Admin make sure that the Roles section has User (no administrator access) selected

New User 2

5. The last step to adding a new user and assigning a Dynamics CRM license is to find the portion of the screen where it reads Microsoft Dynamics CRM Online Professional and it will display the number of license that are still available to be assigned. Click the Slider from Off to On which will assign the license.

New User 3

6. Once you click Save an email will be generated that will be sent to the new user that will deliver them the temporary password for them to login and change their password.

7. As an admin now that you assigned a license to the new user you will need to go to Dynamics CRM and assign a Security Role to the new user

8. To do this find the blue box in the top right corner and click it. Once open select the CRM title.

New User 4

9. Once in CRM go to Settings->Security and then select Users

New User 5

10. From here you will be directed to the Enabled Users view where you can find your new user. Go ahead and select the name of your new user which will direct you to the users profile

11. From here find the Manage Role button in the command bar along the top of the page

New User 6

12. Once in Manage Roles assign the correct security role based on the users job role

You have now successfully setup a new user, assigned a CRM license to them and assigned them a security role within Microsoft Dynamics CRM. When the new employee is ready to get started they can hit the ground running without issue.
