All About SmartList Designer in Dynamics GP

Create or modify SmartLists and build your own Excel Refreshable Reports quickly and easily with SmartList Designer in Microsoft Dynamics GP 2015!

Microsoft Dynamics GP SmartList Designer was first introduced as a free tool in Microsoft Dynamics GP 2013 SP2 that allows users to modify existing or create new SmartLists. At Microsoft Convergence 2015, they introduced the updated SmartList Designer that has some new great features in Microsoft Dynamics GP 2015 – allowing users to quickly and easily create or modify existing SmartLists and build their own Excel Refreshable reports. These new features enable users to view their most up-to-date business information.

SmartList Designer can be accessed from the SmartList window by going to Microsoft Dynamics GP >> SmartList >> New in the GP 2013 SP2 and later releases.

Users might need to be granted additional security access depending on their existing security roles in Microsoft Dynamics GP and data access permissions in SQL to be able to use the SmartList Designer.

The SmartList Designer that comes with Dynamics GP 2015 release allows users to do the following:

  • Quickly and easily create new SmartList from an existing SmartList
  • Export the data into Excel to enable viewing from your tablet or smartphone
  • Quickly and easily create new Refreshable Excel reports
  • Publish created Excel reports to the shared location on the network, SharePoint, or Office 365

Another great feature of SmartList Designer in Dynamics GP 2015 is that it allows users to combine data from Dynamics GP and other data sources when creating new or modifying existing SmartLists and building Refreshable Excel reports. For example, SmartList Designer can be used to:

  • Create a new SQL view that contains Microsoft Dynamics CRM data
  • Create a new SmartList containing data from a new View
  • Create a new SmartList using Excel as a data source
  • Use existing Microsoft Dynamics GP SQL view to create new or modify existing SmartList

More exciting features are coming out with the release of Dynamics GP 2015 R2 which is scheduled for May of 2015! The new SmartList Designer features announced at Microsoft Convergence 2015 this year will allow users to use both tables and views as a data source when creating new or modifying existing SmartLists and create SQL views from SmartList Designer.

In addition, the new Workflow feature has been added to SmartList Designer allowing users to submit newly created or modified SmartLists to a Workflow process for approval before they become available to other users which allows greater control over publishing SmartLists. Users will be able to submit the newly created or modified SmartList for approval by selecting the Submit button in the SmartList Designer window:

Once the new or modified SmartList gets approved by the approver assigned in the Workflow process, the SmartList will become available to other users for use.
