[How to] Configure Restricted access of Ledger Account for users in D365 Finance and Operations

In this blog, we shall have one walkthrough, how we can configure ledger accounts to allow for specific user/users
Business scenario
Many organizations have their ledger accounts, which only can be used by some specific users, example- salary account, cash in hands account etc. this requirement can be achieved by a different way by making journal name private, enabling maker checker option, workflow etc.
However, we can achieve this by just putting a restriction on ledger (main account) level as well
Let’s explore
Configurations
Select ledger account (Main account), which will only be used by some specific users in dynamics, no other users will be able to use those main accounts
Navigate to General Ledger-> Chart of Accounts-> Accounts-> Main accounts
Select the main account/accounts-> Go to Posting validation-> under User option-> Select the following as per the requirement
If the requirement is to allow only one specific user, follow the below process
- Specify single valid option= Only one user can be allowed to use this main account
- Select the User ID from the drop down
If the requirement is to allow multiple users, follow the below process
- Specify multiple valid options= Multiple users can be allowed to use the main account
- User validation option will be enabled
- Add users as per the requirement
Now, if any other users, who are not added into the validation configurations above, system should not allow to use this ledger account for them
This is a very simple and straight forward functionality and can be used in any such requirement by business.
