I am trying to remove a former Sales person from an Opportunity, it is clearly a permissions issue. I do not know what permission to adjust in order to enable me to remove the former Sales person each time I see him in an Opportunity. We no longer have our CRM support person. I worry that if I do delete the person that it may delete all the Opportunities associated with him. I may need to open a support ticket, but wanted to check here first.
Am sure you don’t want to delete the contacts. Just want to disassociate them from Opportunities.
We have two different privileges - Delete & Append/AppendTo. You need a security role with these privileges to perform such operations. Delete will physically remove the record/data from system/database whereas Disassociate (taking out the value from lookup field - Lens icon) will just break the association between contact & oppty.
If you have to disassociate the contact lookup, select the lookup control by clicking lens icon or just close to it, once selected press the delete button in keyboard. Or click the lens icon & in popup you will find “Remove value” button which will just break the association by unlinking it. You will see empty lookup. You can choose different record also if you want.
It’s important not to click the hyperlink which will open the contact record by navigating away from oppty record.
Same thing you can do for Parent Customer Id, this is needed only if you have chosen contact instead of Account in that field.
This will keep contact records in the system & not to worry about.
Thank you for the quick response. I am logged into CRM as an Admin but do not see where I would check the permissions you mention. If I go to Administration, then Security Roles, then Sales Manager, I see 9 tabs (Details, Core Records, Marketing, Sales, etc.). Which tab, which Entity? On the Core Records tab there is Delete, Append, and Append To. However, there are over 20 entities and I am not sure which one to adjust.
the entity is "Opportunity" under core tab.
one question, is the opportunity record is inactive?
No, these are not inactive. Our new Sales Manager wants the ability, when in an Activity, to remove his predecessor's name from the Contacts that are listed on the right side. Would a screen shot help?
Definitely screenshot of grid & security role will avoid confusion.
So where do you want to remove the contact ? Activity or Opportunity, let's share the screenshot to avoid confusion.
In this case the Sales Manager wants to get rid of Gary under Sales Team.
Refer this thread & let us know if you need any help.
This feature is called "Access Team" , you need appropriate privilege on
1. "Connection" Entity under core tab, delete permission.
2. "Opportunity" Entity under core tab, write , append and append to
I went to Security Roles, then "Sales Manager" since that is his Business Unit, then selected the Core Records tab. He has Delete permission for "Business Unit" (as opposed to Delete permissions for "Parent: Child Business Units"). The permissions for "Opportunity" match you suggest. So, it seems like that should be enough. He doesn't get an error, he just doesn't have the option to delete the person.
