We have CRM 2013 on premise. I am trying to do some cleanup. There are about 6 users that are no longer with the company and their user was deleted from active directory. The person that I thought was taking care of CRM all this time was not keeping up with users that left the company and now his role in the company has been changed.
So, I need to clear those old users of any assigned records and then change the roles of the user that is not longer taking care of CRM to just a salesperson. That means I also have to change jobs and workflows that are owned by him.
So to start I am first trying to reassign records. The problem is the process never finishes. For example one user named Chuck I have ran it 4 days in a row and it never finishes.
Any help is appreciated.
I have seen this behaviour before as well and this is generally becasue of the size of teh records which needs to be reassigned. Did you analyse how many records are owned by this users. If this is a huge number, its better to do a reassignment entitiy wise.
You could also use the tool within the XRM toolbox for entity wise record assignment-
Hope this helps.
Ravi, thank you very much. Using that I was able to find and verify that the users no longer with the company have no ownership of any accounts.
Now I need to do the second part: Changing the ownership of all jobs and workflows to a different user. How do I do that please?
You can go to Settings >> Processes >> All processes and then filter by the user. If you see the old user, assign workflow to the new user. You don't need to worry about jobs as they will create based on workflows so if you change the owner at workflow, jobs should be fine.
Hope this help
Thanks. I have changed 3 of 40 and will wait a few days to see if any problems arise before changing the others.
OK It looks like those are all working as intended. I have finished changing the rest.
