Guidance on Migrating On-Prem Dynamics CRM to Dynamics 365 via ETL (Without FastTrack)

We’re planning a migration from an on-premises Dynamics CRM to Dynamics 365 using an ETL process, without FastTrack. The main challenges we’re trying to sort out are:

1. Identifying which out-of-the-box entities must be included in the migration, especially those tied to transaction data (like emails, cases, activities, etc.). Missing the wrong ones could break data relationships.

2. Defining the best ETL approach and tooling for this type of migration. Should we lean toward SSIS with KingswaySoft, Azure Data Factory, or another option? How have others structured their pipelines to balance performance, data integrity, and complexity?

Looking for input from anyone who’s done this—especially lessons learned on entity dependencies and practical ETL strategies that worked (or didn’t).

I have the same question (2)

There are a few questions in there including the strategy for identifying entities to migrate and the order in which they need to be migrated, as well as deciding on an ETL tool to use.

A successful data migration should include a data migration mapping document which should list the entities and the order in which they need to be migrated determined often by a technical resource familiar with the data model to observe the topmost entities and their 1:N and N:N relationships to go from the top down to produce the entity list, then the business would validate this list and perform a field mapping based on source/target fields. Base data like the product catalog, maintenance or supporting entities etc. can be moved using the Configuration Migration Tool - and you may need the CMT for business process flows as KWS still doesn't support BPF's.

KWS is probably a better tool to use than ADF because while both have an auto-mapping feature, ADF has little capability for translation and KWS has in addition to multi-threading the new "User Multiplexing" feature which helps avoid throttling.

    Entity Selection & Dependencies
To help with entity identification, I’ve attached an SSIS package that outlines:
    • All relevant out-of-the-box entities
    • Their dependencies and relationships
    • The recommended data flow for a successful migration
This should help ensure that critical transactional entities like emails, cases, and activities are included, preserving data integrity and avoiding broken relationships.

    ETL Strategy & Tooling
I recommend using SSIS with KingswaySoft for two key reasons:
    • One-time migration: Since this is a one-off process, SSIS offers a straightforward and cost-effective setup without the need for a full-scale cloud-native pipeline.
    • This approach has worked well in similar scenarios, balancing performance and complexity while giving you granular control over the data flow. I have taken this approach in one of my project successfully with data migration of 157 GB.
