Hour Journal does not pick up funding source for project

Hi
 
Why doesn't the hour journal pick up the funding source for a project on its own (we are forced to manually select it). It is uniform across all projects - we are experiencing the same issue for all projects). We are working in D365 FO.

    What exactly do you mean by "manually select it"? On the hour journal, there is no field visible by default for the funding source. Upon posting, it will check the project contract and based on the funding settings, it will find the correct funding source or sources with a percentage split.

    See the error message to the right highlighted in yellow. We then have to go to financial dimensions (circled in red) and populate the grant and fund. but system should that automatically.

    When the journal line is created, the fin. dimension are being pulled from the project.

    That is the expected behaviour but in our case, the financial dimensions (specifically fund and grant) are not being automatically pulled in the hour and expense journal. The dimensions are being automatically pulled in other areas such as Purchase Orders but not for hour and expense journal. I am trying to figure out why that is the case.

    Please find below explanation –

    Why Financial Dimensions Aren’t Auto Pulled in Hour/Expense Journals
    Unlike PO lines or GL journals, hour and expense journals don’t fully inherit financial dimensions
    from the project or worker by default. Here's what’s happening:
    Journal Type Dimension Source Auto-Populates?
    Purchase Orders Vendor + Project + Item Yes
    GL Journals Header + Account + Ledger setup Yes
    Hour/Expense Journals Project + Worker Not always

    In your case, even though the project has default dimensions (fund, grant), the journal line doesn’t pull them because:
    • The dimension inheritance logic is limited in hour/expense journals.
    • The worker record may not have fund/grant dimensions set.
    • The project contract’s funding source is only evaluated at posting, not during line entry.

    Root Causes Why Dimensions Don't Auto-Populate
    1. Inheritance Logic Is Weaker in Hour/Expense Journals
    • Unlike GL or PO lines, hour and expense journals do not strongly inherit dimensions from the project or worker unless explicitly configured.
    • The dimension propagation depends on:
      • Worker setup
      • Project setup
      • Journal name default values
      • Ledger configuration
    2. Worker Record Doesn’t Carry Dimensions
    • If your worker isn’t assigned fund/grant in HR > Workers, D365 has no dimension to inherit.
    • Purchase orders often inherit from vendor + item + project, giving more dimension context.
    3. Journal Name Doesn’t Enforce Dimensions
    • Go to Project management > Setup > Journal names
    • Some journal names are set up with blank financial dimension policies, meaning dimensions aren't injected during line creation
    4. Project Setup Doesn't Push Dimensions
    • Even if the project has default dimensions, they may not flow unless “inherit from project” is enabled in the project group and ledger account setup supports it
    5. Funding Source Logic Happens at Posting
    • The actual funding source mapping from project contracts is resolved only at posting—not when the journal line is created.
    • So, dimensions related to fund/grant might be stored in the contract but aren’t shown until posting evaluates funding rules

    Steps to Make It Work
    1. Assign Dimensions to Worker
      • Go to HR > Workers > Worker > Financial dimensions
      • Add default values for fund and grant
    2. Review Project Group Setup
      • Ensure inherit dimensions from project is enabled
    3. Validate Journal Name Defaults
      • Go to Project Management > Setup > Journal names
      • Under Financial dimensions tab, assign default values or enable dimension inheritance
    4. Test Ledger Setup with Dimensions
      • In Ledger > Chart of accounts > Account structures, confirm that relevant dimensions are active and allowed for project-related accounts

    Financial dimensions in hour journal lines will be populated from project card.
    If not, can you share a screenshot on Project management and accounting parameters?

    Thank you very much for that comprehensive response. In the hour names journal setup, i am unable to see the field you referenced i.e. inherit from project financial dimensions. ? Where/ how can I find this field. Thank you.
