Here’s a step-by-step guide to configure Dynamics 365 with Google Mail (Gmail / Google Workspace) instead of Microsoft Exchange.
Important Note (before you start)
Dynamics 365 supports Gmail via:
Server-Side Synchronization (IMAP/SMTP)
Native Exchange features (calendar sync, full tracking) are limited
Prerequisites
🔹 Gmail / Google Workspace
Enable:
IMAP access
If using 2FA:
Create App Password
In Google Settings
Go to Gmail settings:
Enable IMAP
Allow less secure apps (or use App Password – recommended)
Step-by-Step Configuration Step 1: Create Email Server Profile
In Dynamics 365:
Go to:
Settings → Email Configuration → Email Server Profiles
Click New
Fill details:
Name: Gmail Profile
Server Type: Generic SMTP/IMAP
Incoming (IMAP):
Server: imap.gmail.com
Port: 993
SSL: Yes
Outgoing (SMTP):
Server: smtp.gmail.com
Port: 587
SSL: Yes
Step 2: Create Mailbox
Go to:
Settings → Email Configuration → Mailboxes
Click New
Fill:
Email address (Gmail)
Owner (user)
Server profile → Gmail Profile
Step 3: Configure Mailbox Credentials
Username: your Gmail ID
Password: App Password (if 2FA enabled)
Step 4: Test & Enable Mailbox
Open mailbox record
Click:
Test & Enable Mailbox
Ensure:
Incoming: Success
Outgoing: Success
Step 5: Set Default Sync Method
Go to:
System Settings → Email
Set:
Incoming Email: Server-Side Sync
Outgoing Email: Server-Side Sync
Step 6: Configure User Settings
Assign mailbox to user
Approve email
Enable mailbox

App Password over normal password
