How to work with budget control data maintenance

Hello guys,

I want to ask something about budgeting. I set the budget control rule for account 606300 - Office supplies expense, after i post my budget register entries. Can't I have my budget control works for that account? Because when I try to make a journal using that account, the budget control is not working.

I read that documents can be reprocessed against budget control through the budget control data maintenance, including any budget register entries that were entered prior to budget control being enabled read-only audit trail is preserved for documents that are found, as well as the results of reprocessing. So I think my budget control should work using this feature. I tried to create a new budget control data maintenance, but I can't select the scenarios. Is there something I'm missing out ? How to work with budget control data maintenance ?

    Hi Indah Wongso,

    Can you share details of your budget control configuration setup? Budget parameter/Budget control rules for accounts/budget control dimensions.

    Are you facing this issue only on 606300 - Office supplies expense or did you check any other account as well?

    Can you also make sure Budget control is Active and Turn on.

    I tried this scenario just for account 606300 - Office Supplies Expense (in the demo environment). Waiting for your response.

    Hi Indah,

    Your setup looks correct. Just check one more thing, Can you tick "Check at line entry" for Daily Journals and try again.

    In addiiton to that, Can you also check your budget register entry. Is it showing green checkbox there or not? I just doubt your budget control may not have been activated prior to entering the budget entry.

    Hi Junaid,

    I've done what you suggested, but there's no green checkbox in my budget register entry. I post the budget entry first then I create the rule for the account. Isn't budget control data maintenance can help me to reprocess the budget register entry? Do I have wrong perception about this budget control data maintenance?

    Your understanding is correct because to cover the timing issue where budget isn't registered against budget control since it exists prior to activating/enabling tracking. Microsoft has released this new feature "budget control data maintenance".

    Can you check "budget control statistics" to see the  available balance of this account?

    You can do one last try, Deactivate the budget and Activate the budget again. Create new budget registered entry and update the balance.  Check if green tick is coming or not.

    Can you please share your product version? There might be a hotfix on LCS.

    I missed one point " I post the budget entry first then I create the rule for the account" >>This is might be causing an issue. Please try the steps as i suggested in my last response.

    Hi Junaid,

    I already check the budget control statistic and there's nothing there. Then I try to do what you adviced, the new budget register entry has green tick. The budget control statistic only showing the balance from the new budget register entry.

    But, how about the first balance from the budget register entry I entered earlier? Can't it be used for budget control? Is there any workaround for this? Is the "budget control data maintenance" feature can help me from this case and how to use it?

    Hi Indah Wongso,

    That budget entry without green tick cannot be used for the budget control and you have also checked budget control statistic is not showing the amount. As per my experience, Budget control is very sensitive feature even sometimes budget register entry is posted and then if you activate the budget control, system will bring the green sign.

    Budget control data maintenance feature should suppose do what you are expecting otherwise i suggest you to open the ticket with Microsoft on LCS to let their engineer find the root cause of it and advise you accordingly.

    My last advise is to check other expense accounts as well with budget register entry and follow the same steps just to ensure at least your budget control is working fine.

    Hi Inda,

    This is a current limitation of the Budget COntrol. We need to activate first the budget control before inputing the Budget Register Entries and do the transaction. You may need to deactivate the Budget Control and reverse the Budget entries and enbale again the Budget Control and input the budget entries.

    Hope it will be improved soon for the future updates that it will recalculate the posted entries within the Budget cycle.
