Filter Leads that have NOT received a phone call within X days

Good afternoon,

I am an employee using Dynamics as our CRM. I am trying to filter a list of leads that have not received a call within the last X days. It helps streamline the list based on what my colleagues have already done.

I cannot do by last activity date/time, because emails and texts would stop it.
I've tried a few different Related Entity groups but I can't seem to get it to work.

Any tips?

    Hello NL-02022002-0,

There is not an out-of-the-box way to calculate the data as leads by the last phone call in X days.

With some customizations, you will be able to make one.

    1. Create a new Field (Phone Call Date)

    • On the Lead Entity: Create a new Date/Time field named "Phone Call Date."

    • Workflow/Power Automate: Create a workflow or Power Automate flow that:

      • Triggers on the creation of a Phone Call activity related to the Lead.

      • Updates the "Phone Call Date" field on the Lead record with the actual date/time of the Phone Call activity.

      •

    •

    2. Filter Leads Based on "Phone Call Date"

    • View: Create a new view in Dynamics 365 that filters Leads based on the following conditions:

      • "Phone Call Date" is either:

        • Empty (for Leads with no phone calls)

        • Less than X days ago (e.g., "Phone Call Date" is less than Today - X days)

An alternative to Power Automate or a workflow is to create a rollup field to track the last phone call date. The field can be filtered to show the MAX of the activity date, filtered to just phone calls. This removes the need for writing an automation, and the other benefit is that you won't have to backfill the field. Once the rollup field job runs for the first time, it will be updated for all records.

You're looking to create a new Date and Time Field, with the 'Behavior' set to Rollup. The actual calculation can look like this (I did it on Accounts instead of leads, but it should work the same for any table with activities enabled).

After that, creating the view to filter would work exactly the same. You could even do a bit more and create a formula field to calculate "Days since last phone call", but that's more just for extra flavor than what is needed for the requirement.
