Deleting Contacts from Marketing List

(4) ShareShare

We have a large marketing list with just over 1,000 members. We need to review the list and remove people, but these people don't share any particular characteristics where Removing Using Advanced Find makes sense to use. How can we more easily go through the list and select/remove contacts? I can only see how to have multiple pages, with contacts 1 - 14 on page one, etc. And if you select some on page 1, if you go to page 2 your selections from page 1 are gone. I hope I'm just missing something obvious!

    Hello AH-26021750-0,

You've hit upon a major frustration with managing large marketing lists in Dynamics 365 Customer Insights - Journeys (and the broader Dynamics 365 marketing list functionality): the lack of a user-friendly, multi-page selection and removal process.

Unfortunately, you're not missing anything obvious. The standard marketing list interface is indeed limited in its ability to handle large lists for manual review and selective removal.

Here's a breakdown of workarounds and alternative approaches:

    1. Export to Excel and Re-Import (Most Practical for Manual Review):

    • Export:

      • Export your marketing list to Excel.

      • This will give you a complete, scrollable view of all members

    • Review and Mark:

      • Add a new column in Excel (e.g., "Remove").

      • Manually review the list and mark the rows of contacts you want to remove (e.g., enter "Yes" or "Remove")

    • Create a New Static Marketing List (Recommended):

      • Create a new static marketing list in Dynamics 365 Customer Insights - Journeys.

      • Import all the members from the orginal marketing list.

      • Then, in the excel file, remove the rows that needed to be removed.

      • Import the edited excel file into the new static marketing list

    • Replace or Update:

      • If you need to replace the original list, delete the old list, and rename your new list.

      • Or you can use the new list in future journeys

    • Advantages:

      • Provides a familiar and efficient way to review and mark contacts.

      • Allows you to easily scroll through the entire list.

      • Removes the multi page selection issue

    • Disadvantages:

      • Requires manual data manipulation in Excel.

      • Requires importing and exporting.

      •

    2. Create a Segment (If Possible):

    • Segment Logic:

      • If you can identify any criteria that exclude the contacts you want to remove, create a segment.

      • For example, if you want to remove contacts who haven't engaged with your emails in the past year, create a segment that excludes them

    • Static List from Segment:

      • Create a new static marketing list from this segment.

      • This will give you a list that does not contain the people you wanted to remove

    • Advantages:

      • Automates the removal process based on defined criteria

    • Disadvantages:

      • Relies on identifying exclusion criteria, which might not always be possible.

      •

    3. Power Automate (For More Advanced Logic):

    • Flow Logic:

      • Create a Power Automate flow that retrieves the marketing list members.

      • Implement custom logic to identify and remove contacts based on criteria that you can define within the flow.

      • This would require some development skills

    • Advantages:

      • Provides more flexibility for complex removal scenarios

    • Disadvantages:

      • Requires Power Automate skills.

      • Can be more complex to set up.

      •

    4. Third-Party Marketing List Management Tools:

    • Explore AppSource:

      • Check the Dynamics 365 Marketplace (AppSource) for third-party tools that might offer enhanced marketing list management capabilities.

      • Some tools might provide features for multi-page selection and bulk removal

    • Advantages:

      • Potentially provides more user-friendly interfaces and features

    • Disadvantages:

      • Requires purchasing and configuring a third-party tool

    •

    Key Recommendation:

    • For manual review and selective removal, the export to Excel and re-import method is the most practical and efficient solution. It overcomes the limitations of the standard marketing list interface.

Thank you! Glad I'm not missing anything obvious, frustrated it isn't more user-friendly, but we'll work around it.
