Hi everyone, I have a question regarding event planning in Customer Insights Journeys. Does anyone have a best practice approach for deregistering attendees from an event? Unfortunately, I can't find a standard approach in the system at the moment. I look forward to any answers! Best regards, Victoria

    Hello Victoria,

You're right, Dynamics 365 Customer Insights - Journeys (CIJ) doesn't have a direct, out-of-the-box "deregister" or "cancel registration" button or process for event attendees. This is a common point of frustration for event planners.

However, you can achieve attendee deregistration using a combination of techniques and best practices. Here's a breakdown of the recommended approaches:

    1. Using a Custom Marketing Form and a CIJ Journey (Recommended):

    • Concept:

      • Create a dedicated marketing form for deregistration.
      • Use a CIJ journey to process the form submissions and update the event registration records.

    • Implementation:

      1. Create a Deregistration Marketing Form:

        • Create a new marketing form in CIJ.
        • Include fields to identify the attendee (e.g., email address, registration ID).
        • Add a "Reason for Deregistration" field (optional).
        • Add a submit button.

      2. Create a CIJ Journey:

        • Create a new CIJ journey with a "Marketing form submitted" trigger.
        • Add a "Dataverse update" activity.

        • Configure the "Dataverse update" activity to update the event registration record:

          • Filter the records based on the attendee identification fields from the form.
          • Set the registration status to "Canceled" or a similar status.
          • Populate the "Reason for Deregistration" field (if applicable).

        • Add a "Send Email" activity, to send a confirmation email.
        • Go live with the journey.

      3. Embed the Form or Link:

        • Embed the deregistration form on your event website or send a link to the form in your event communications.

    • Advantages:

      • Provides a controlled and trackable deregistration process.
      • Allows you to collect deregistration reasons.
      • Automates the update of event registration records.
      • Automates the confirmation email.

    • Disadvantages:

      • Requires creating a custom form and journey.
      • Requires the user to have internet access.

      •

    •

    2. Using a Power Automate Flow (Alternative):

    • Concept:

      • Create a Power Automate flow that's triggered by an email or other action.
      • The flow updates the event registration record.

    • Implementation:

      1. Trigger:

        • Use a trigger that suits your needs (e.g., "When a new email arrives," "When a button is clicked in a Power Apps app").

      2. Dataverse Update:

        • Add a "Dataverse update" action.
        • Configure the action to update the event registration record, similar to the CIJ journey approach.

      3. Email Confirmation:

        • Add a "Send Email" action.

    • Advantages:

      • Provides more flexibility in triggering the deregistration process.
      • Can be integrated with other systems.

    • Disadvantages:

      • Requires Power Automate development.

      •

    •

    3. Manual Deregistration (Less Recommended):

    • Concept:

      • Manually update the event registration records in Dynamics 365.

    • Disadvantages:

      • Time-consuming and prone to errors.
      • Not scalable.
      • No automation.
      • Not recommended for high volume events.

      •

    •

    Best Practices:

    • Clear Communication:

      • Clearly communicate the deregistration process to attendees.
      • Provide easy-to-find links to the deregistration form or instructions.

    • Confirmation:

      • Send a confirmation email to attendees when their registration is canceled.

    • Data Tracking:

      • Track deregistration reasons to identify potential issues and improve future events.

    • Automation:

      • Automate the deregistration process as much as possible to reduce manual effort.

    • Status Management:

      • Use a clear registration status field, to easily identify canceled registrations.

      •

By using these methods, you can effectively manage attendee deregistration in CIJ.

    Hello Daivat Vartak,
Thank you for the detailed description! I was just about to try it out and realized that we don't have the "Dataverse update activity" in use yet. We don't use Customer Insights Data yet. If I understand correctly, that's enough to implement approach 1. Is that correct? Best, Victoria
