Use of Post Costs button on Project Management and Accounting Module AX 2012 R2

Hi All, 

In AX 2009, Users used to Create Item Requirements, Post Packing Slip and then Click on Post Costs. 

In Ax 2012, I had created Item Requirements, Posted Packing Slip and it now shows on Posted Transactions. What is the reason to perform Post Costs? As its already showing in Posted Transactions, do i need to do Post Costs? 

Can someone tell me, what is the reason that we use post costs? Why?

    Hi,

    The setup of the 'Profit and loss' configuration makes the post cost functionality superflous in my opinion.

    That is because you directly record all project transactions to P&L accounts.

    In AX2009 the costs were posted to balance sheet accounts and because of that your users possibly shifted costs to the P&L accounts from time to time.

    With your current setup this is not needed.

    (Note: I think that the post cost function was not needed in AX2009 because the costs are shifted from balance sheet to P&L accounts anyway when you invoice the customer).

    This is the setup in 2012. But in 2009 we had Balance instead of Profit and Loss in those 3 fields Hour, expense, item.

    Hi,

    Can you share a screenprint of the project group setup?

    The GL parameter I referred to can be found in the 'batch transfer rules' tab. What do you see there?

    1. I selected Balance in search and now i can see records

    2. In Project Groups setup - I had these settings : Ledger Fast Tab: Post Costs - Hours , Post Costs - Expense , Post Costs - Item : Profit and Loss.   On Account Invoicing : Balance.

    3. Not sure which field to check in GL parameters.

    With above settings , do you think i had to do the Post Costs? or I dont? Can you please let me know. Thanks.

    Update: In my 2009 environment, i had all of those Ledger settings on Project groups is Setup as Balance. 

    Is there any best practice that says we should use balance in setups or P&L in Posting groups ledger posting? What difference would it make?

    Hi,

    There might be three things reponsible for this that you can check:

    1. Can you see a search or select button that allows you identifying the transactions that should be posted from BS to P&L or vice versa? If so, try to use this one

    2. Can you see how your project group is setup? Does it post to balance or P&L accounts? If it posts to P&L accounts there is no need to post costs because they have already been posted as costs

    3. Can you check in the GL parameters whether transactions from the subledger will directly be moved to the GL or whether this occurs by a batch posting? In the latter case, the voucher might not have been posted preventing you from 'shifting' costs.

    Ok. Yes.

    In 2009, when i click on Post costs > We are seeing some lines to post. But i created a project in 2012, created Item requirements and posted packing slip. But when i tried to click on Post costs and click ok, i dont see any records. Is there any step that i need to do before that?

    Hi,

    You can see the transactions in the posted project transactions.

    AX is creating ledger vouchers whenever you shift costs from balance sheet to P&L accounts or vice versa!

    So, you might either see costs transactions or WIP transactions depending on the direction.

    Ok. Thanks. When i do the Post Costs , where can i see those costs shifting? Any path where i can view that says something happened during that process?

    Other than that, when i do packing slip on item requirements - it does mean that its posted against the project?

    Hi,

    The post costs button allows you to shift costs from a balance sheet to a P&L account. This is sometimes needed by accountants especially when doing month end or year end close. Other than that there are not many scenarios where you might use this feature.
