CRM 2013 Online Database is very big?

Hi,

I was wondering if there is some kind of way to see where the data on your CRM system is distributed.
There's not that many users on the system and not much is created. Still the system has a database on ~11GB(out of 13GB).

I've asked around, and the 3-4 people I've talked with, also think there is quite alot of date compared to the usage of the system.

Mail the attachments make up about 5.7GB, and I've already deleted all completed processes.

Any ideas??

Check if you have audit enabled on the system that may consume lot of space on the system.

    For clearing Audit logs:

    1.     Click or tap Microsoft Dynamics CRM > Settings > Auditing.

    2. In the Audit area click or tap Audit Log Management.

    3. Select the oldest audit log, then click or tap Delete Logs.

    4. In the confirmation message click or tap OK.

If you have done multiple bulk imports in the past:

Click or tap Microsoft Dynamics CRM > Settings > Data Management > Bulk Record Deletion, and then in the menu bar, click or tap New. This opens the Bulk Deletion Wizard.

    2. Click or tap Next.

    3. In the Look for list, select System Jobs.

    4. In the search criteria area, add criteria similar to the following:

System Job Type – Equals – Import

Status Reason – Equals – Succeeded

    Completed On – Older Than X Months – 1

    5. Group the three criteria rows:

    a. Click or tap the arrow next to each criteria row, and then click or tap Select Row.

    b. With all three rows selected, click or tap Group AND.

    6. Click or tap Next.

    7. In the Name text box, type a name for the bulk deletion job.

    8. Select a date and time for the job start time; preferably a time when users are not in Microsoft Dynamics CRM.

If your database is still huge after deleting attachments, notes & completed processes and you have taken care of Audit data then it would be a good idea to request a copy of your Org DB from MS Support. Restore it locally and check where data is!

Taking the database from Microsoft is not soothing that can be done in parallel. At one time you may either use CRM Online or On Premise not both. So you have the power of choice option. If you can help opening a CRM Online Support case we will be able to share some information where this data is getting used in your Org database..

Great idea Mamatha, I didn't actually know you could do that! :)

I think what Mamatha means, is that I could get the DB to see where data is located, but not to use it as our new main DB.

But I think instead, I'll do as you suggested, and open a support case to get a overview of the data, because this is starting to get too expensive with this additional data.

    Thank you very much!
