Zetadocs Express Upgrade Path

Posted on by Microsoft Employee

One of our customers has an installation of Zetadocs Express for NAV and wants to upgrade to SharePoint 2013 and the latest Zetadocs Express version.

Current Installation:

-          Microsoft SharePoint 2010

-          ZetaDocs Express for NAV Version 6.1.332.104

-          Microsoft Dynamics NAV 2009 R2

-          More than 90.000 documents stored in ZetaDocs document library

Target Installation:

-          Microsoft SharePoint 2013 (Upgraded content database, different server/ip)

-          Latest ZetaDocs Express Version for Microsoft SharePoint 2013

-          Microsoft Dynamics NAV 2009 R2 (no changes)

-          It’s mandatory to keep all document releations in NAV

Question:

Is there an official upgrade path for our upgrade scenario or is there an official upgrade documentation?

We have to ensure that all relations to existing documents are still working after the upgrade.

Best regards

The procedure for upgrading Zetadocs Express is detailed on tech note ZTN4245. There is no requirement to update the Zetadocs SharePoint Solution (.wsp) that is activated on the SharePoint site when upgrading the Zetadocs Express Client.

For the scenario you describe, it will not be a problem to retain links between NAV records and related documents stored on SharePoint. Depending on the SharePoint upgrade method, you may need to upload the Zetadocs SharePoint Solution (.wsp) again to the new SharePoint 2013 site and activate the features (as per Section 2.1 of the Zetadocs Express Guide). It is very important to ensure that all metadata currently attached to documents archived in SharePoint 2010 is retained on the SharePoint 2013 site.

Thanks for your reply, but unfortunataly none of my questions are answered.

The main focus is not the upgrade of zetadocs but rather the upgrade to SharePoint 2013 and the possible movement of the SharePoint Server.

    What i figured out:

    1. Putting a document from external source (or via file upload in Sharepoint) in the document library -> the document will not appear in Zetadocs NAV dropbox

    2. Upload a document via Zetadocs NAV dropbox -> document (with same meta data) appear in the dropbox.

This means that the upload via NAV dropbox stores anywhere a document relation. Where is this storage place and will all links/metadata(?) be migrated/fixed after a SharePoint migration?

For me it's like a blackbox.

Sorry for my persistance, but we really have to make sure the upgrade/migration will work.

The support pointed me to this forum to get support. So i'll get into a loop. Parallel i will ask the same question to the equisis support again.

    best regards

    RE: Zetadocs Express Upgrade Path

Ok. I think i have a problem to understand the (communication)structure of zetadocs.

About 3years ago our customer decided to use zetadocs express, all documents were stored in a file system at this time. So we installed zetadocs express and made a migration of these file to the zetadocs document library in sharepoint including correct releations. In the NAV Zetadocs dropbox the documents were not visible.

A lot of tests have shown that every document not dropped by NAV dropbox was not visible in NAV (even with equal metadata).

The support said there is no other possibility to create these releation than drag/drop via NAV dropbox.

And now our customer (and we too) are of course afraid of missing relations after the system upgrade/migration.

So you can assure me that everything will work like before after the upgrade (and migration)?

    Thanks and regards

    Hi

You are using SharePoint not Zetadocs Archive, need to take care of SharePoint only in your case.

    Thanks.

I tried to locate the Zetadocs Archive Service on the customer's installation.

    Quote:

"If Zetadocs Archive is already installed please follow the additional steps:

Go to the start menu and search for Services.msc.

    Stop the Zetadocs Archive Service."

I could not locate this service or any database belonging to zetadocs archive.

We upgraded the customers zetatdocs express version one before 1.5years ago.  So is it possible there is no service or database for the archive releations in the this version?
