Internal project immediate consumption and expenses

Hello everyone,

 In AX 2012 R3 We have the following 2 issues with receptions and consumption in project POs:

 

1. In an Internal Project, on every PO Product reception, items are always “immediately consumed”. No question "Consume items for the project immediately" asked.

2. That immediate consumption doesn't update project expenses. Rather, the items stay in an "Deducted" state in Inventory, and expenses are updated when the invoice arrive. Which is standard behavior as I've read.

 

Questions:

  • Where do I configure an internal Project to ask if I want to consume immediately on reception? 
  • What may I do to force expenses updates on those items that are in “Deducted” state? We can’t wait for the invoices.

    Hi Alfredo,

    Question 1: In the Project Parameters (General tab) there is a parameter 'create item requirement'. Activating this one will make the pop up available and ask you whether you want to consume the items immediately.

    Question 2: If you want to post the expense immediately with the packing slip posting you activate in Addition to the 'create item requirement' Parameter, the 'item consumption' parameter. Activating this second parameter will not ask the users whether or not they want to consume the items and let them decide by chosing yes or no but rather automatically consume the items without asking the user.

    Hello Ludwig,

    We already have the configuration you mention. And its working fine (asking in every reception) for all projects.

    We have problems only with   internal projects that don't ask, and consume immediately everytime.

    Is a this a behavior specific for internal projects? Could I change it?

    Hi Alredo,

    Please have a look at the following LCS description:

    Solution 704755Product Receipt not creating Project Consumption

    The reason that you are not seeing the transaction is that you are not using an item requirement. The only way that the item consumption will post at time of receipt is if the item requirement is created. The item requirement can be created manually and then the purchase order created from the item requirement. Or if the you have ‘Create item requirement’ option marked, the item requirement will be created automatically in the background with the purchase order/receipt.

    If you use internal projects you cannot create an item requirement and no sales order that is required by the item requirement. Therefore it works as you describe it for your internal projects and there is no parameter or setup that would change that.

    Note: If you just want to see the costs earlier at the Project Level you could activate the respective committed costs parameters as a workaround.

    Thanks, Ludwig, that's a complete answer.

    A couple of related questions.

    Since is an internal Project, we have several item transactions  waiting the invoices to update Project expenses. May we do something to update for those transactions before invoices arrive? May be a temporary expense record, something similar.

    To avoid this problem, is possible to change "on the run" these projects type from "Internal" to "time and material"?

    For the internal Project you cannot do anything else than waiting for the invoice to arrive.

    You already found an alterntive; that is, using a time & material project type instead. This seems to be the better option from my perspective.
