Dynamics 365 CRM Outlook Integration: Behavior of appointments

Posted on by 354

Hi experts,

I have two users: User A and User B. Outlook app is added to both users. However, Dynamics 365 outlook app user role is given only to User A and NOT to User B. I have set of appointments in the system that has required attendee as User A and organizer as User B.

Question is: User A wants to test the outlook plugin and user B is still not ready to test the outlook plugin. However once I added outlook app to both users all the appointments started showing up in both user A and user B's calendar. Is this expected behavior?

If yes, how to delete appointments from User B's outlook?

Thank you,

Thank you  Lance. I created a filter that removed the appointments from user's outlook.

    Hello Devi,

If you have added the Dynamics 365 App for Outlook to the user's, this is likely not what is synchronizing the Appointments that are created in Dynamics 365 to Outlook.

Enabling Server-Side Synchronization as the delivery method in the user's mailbox record in Dynamics 365, is what likely synchronized the appointment to their Outlook (Exchange) mailboxes.

Each user has Personal Settings that control what synchronize from Dynamics 365 to Outlook.  I have included the link below that should help better understand the Personal Setting Sync Filters.

To remove the Appointments from UserB's Outlook, you would log into Dynamics 365 as UserB, update the personal settings and disable the Appointment Sync filter which will remove the Appointments Synchronized from Dynamics 365 from UserB's Outlook(Exchange) mailbox.

Let me know if that helps resolve your issue or if further assistance is needed.

    Thanks,
