Allocate Stock To An Order

Hi,

Once a sales order has been raised, I want to have the option to allocate and lock the stock on hand to that order so that no other operation can be performed on it without first unallocating from the order. This seems a simple thing to do and I assumed that this was what the 'Reservation' feature is for. However I'm very surprised to find that even if a sales order has 'reserved' stock from item ledger entries, this doesn't stop another sales order from shipping items, whether they reserved them or not!

Also, there seems to be nowhere that reports 'Free To Sell' stock - i.e. inventory less stock allocated/reserved for orders.

All I want to do is :

1. Place a sales order
2. At some point in time, reserve the stock preventing it moving
3. Ship the stock

Am I missing something/is there another feature I should be using? This is fundamental procedure for distribution.

Any help appreciated,

Jonathan

    Hi Jonathan,

I haven't done much testing in this area, but there is a field on the Planning tab of the Item Card called 'Reserve'. If you set this to Always, then attempts to ship the item without reservation will result in an error when trying to post the shipment.

The field on the item card has three possible values 'Always, Never, Optional' and this used in combination with a field on the Customer Card (also called Reserve) that has the same possible options.

When an item line is added to a sales order, the system looks at the combination of this setting on the Customer and the Item in order to determine the setting on the sales line. This is described quite well in the online help.

As far as reporting the free to sell stock, you would need to add a new field to the Item Card in order to show this - this would be a new calculated field that takes the existing Inventory flow field and the Reserved Qty. on Inventory flow field (not shown) and calculates a new Inventory Avilable to Sell field.

    Hope this helps.

    Hi,

Thanks for the reply.  Yeah I've already considered the customisations you suggest and it looks like the way to go.  I'm just surprised there isn't anything for this as part of the out-of-the-box solution.

    Hi Jonathan,

We've implemented NAV is a couple on distribution sites and have found that we had to do modifications for this.  Sure NAV has reservations but we found that un-allocating stock was too cumbersome and not quick enough for a distribution environment.  The basis of what we did is based on the available stock in the info. panel on sales orders.  Orders were put on backorder is none available or the user could see what was allocated and amend (depending on the site).  These figures were based on the order line and not reservation entries. It's not as easy as it sounds on paper.

    Hope this helps.

    Hi Dave,

Thanks for the reply, it's reassuring to hear similar stories from other partners.

    Dear Jonathan,

    Check with following.

    1. Order date, demand come first is reserved against the existing stock(free) available.

    2. Reordering policy, If it is set to order and Reserve option is selected as optional, still there is reservation from sales order line.

Yeah it's true item reservation and deallocation feature is very tedious in NAV, I hope micarosoft will look into this and make it more user friendly.

Does anyone know if NAV has fixed this to make it more user friendly? This post is almost 10 years old. But I am new to NAV, and find it cumbersome at best, and cannot seem to allocate like other systems I have used.

We are new to NAV and I cannot believe there is no allocation of new stock to old orders.  Should be basic in ERP system

Use Reservation with Item tracking. Refer to this link for direction
