How to: Set Up Intrastat Journal Batches
Because Intrastat is reported monthly, you must create 12 Intrastat journals based on the same template per year. You set up the names of these 12 journals in the Intrastat Jnl. Batches window.
To set up Intrastat batches
- Select the template for which you want to create batches. On the Navigate, in the Template group, choose Batches.
- Enter a Name and Description for each batch.
It is recommended that you set up a unique Intrastat Journal Batch for each month
- On each batch line, set up the relevant information in the following fields.
Statistics Period: Enter the statistics period as a four-digit number, where the first two digits represent the year and the next two digits represent the month. For example, enter 1206 for June 2012.
Currency Identifier: Enter a code that identifies the currency of the Intrastat report. For example, you can enter EUR for euro and USD for US dollars
Amounts in Add. Currency: Select this field if you want the Intrastat report to display in the additional reporting currency.
Reported: This field is automatically filled when you run the Intrastat - Make Disk Tax Auth batch job. If you want to run the batch job again, clear this field
How to: Fill In Intrastat Journals
You can fill in the fields in the Intrastat journal manually or retrieve item entries automatically with a batch job.
To fill in Intrastat journals
- In the Search box, enter Intrastat Journal and then choose the related link.
- In the Intrastat Journal window, in the Batch Name field, select the relevant journal batch, and then choose the OK button.
- On the Actions tab, in the Process group, choose Get Entries. The Starting Date and Ending Date fields will already contain the dates specified for the statistics period on the journal batch. [You might get an error message telling you that one or more of your item are missing the Tariff No. – Fill out the Tariff No. and run Get Entries again.]
- In the Cost Regulation % field, you can enter a percentage to cover transport and insurance. If you enter a percentage, the content of theStatistical Value field in the journal is proportionally higher.
- Choose the OK button to start the batch job.
The batch job retrieves all the item entries in the statistics period and insert them as lines in the Intrastat journal. If any information is missing, you can enter it in the relevant fields.
The Column Transaction Type on the Intrastat Journal needs to have a value before you can print the Intrastat form!
On future sales and purchase documents you can fill the Transaction Type on the Foreign Trade fasttab (before you post them).
