Using Organizational Hierarchies for Security

Hello all,

One challenge with security with customers is to restrict visibility of a user to specific customers or sets of customers. It seems that if an organizational hierarchy was used with a purpose of security this could be achieved but I fail to see how one can tie an organization department to a customer.

Here would be the ideal situation.

1.)An organizational hierarchy is created with Sales as the root.

2.)Below sales would be additional nodes, such as EAST, CENTRAL, MOUNTAIN, WEST.

3.) Then from System Administration > users > the Sales role for the user is selected.

4.) At this point the Assign Organizations button is enabled and selected.

5.) I select the radio button for "Grant access to specific organizations individually".

6.) Next select the organization hierarchy.

7.) Finally select the Node and Grant access.

Now when that user logs into the system they would only see customers that have been placed into one of those hierarchy nodes listed above.

Is it possible to achieve this concept?

How would I tie the customer record to the organizational hierarchy?

    Your requirement can be achieved by XDS, by creating security policies that would be working on your custom setup or Organizational Hierarchy. Next white paper provides you details of how to do to this.

    In addition to the reply from Sohaib I would like to share my two cents:

    It is not possible to link customers to an organization hierarchy. You can only link internal organizations like legal entities, business units, departments. (Customers are external organizations)

    I have done a demonstration in the early days of AX 2012 where a customer was linked to a department using the department setup as dimension. Unfortunately the VM was crashed and I never took a backup of the objects.

    If you read the document provided by Sohaib, you would need to create a new temporary table for XDS. e.g. MyCustomers. In the XDS method you can define which customers are then tight to one or more departments which were used in the Organization assignment on securirty roles for the current user. When there is no assignment you can assume all customers to be included in the MyCustomers table or show nothing. Note that building the temporary table per user can take some time when the number of customers is large.

    Then you are able to create a query for XDS using the CustTable and the new MyCustomers which can be used in a security policy.
