Associate worker to a site and warehouse

We need a worker to be associated to a specific site and warehouse. People from different sites can submit a purchase requisition (thru Enterprise Portal) for the same items. On requisition line items we need the site and warehouse to default to worker's site/warehouse. I am not seeing anything in HR or Procurement modules to accomplish this. We are using AX 2012 R3.

    In order to achieve this you have to do customization. In standard AX there is no Site and Warehouse attached with Employee/Worker.

     

    But I don’t see it a logical/good requirement, because of following reason.

    • Always default warehouse and site will come, from Worker, after doing this customization. Alright, this requisition will be converted to Order and there also same site and warehouse will go. What if Selected Item is blocked for that Site and warehouse???

    • Why you are forcing the items to always go to specific site and warehouse at time of purchase.

       

      One on my clients also asked me such stupid requirement. I did that but told him it’s his responsibility to manage item arrival at time of PO receiving and other stuff.

    I do not agree with this is a stupid requirement. If a client asks for something that they feel would improve their experience with AX and assist the 'worker' in carrying out their role, then it's our job to listen, evaluate, agree or disagree. You understand the clients company structure and their workflow / working practices. Where we disagree, we list all the for / against and offer alternatives.

    This request is something that I have asked for as where (not done yet by the way, but we are looking at adding the defaults to the workers HR record) customers / suppliers are shared over multiple companies and each site / warehouse adding the defaults to these customer / suppliers records isn't an option. It therefore makes more sense to add a 'default' site and warehouse against the AX / HR user. The user is associated with a default company anyway, why not default the site and warehouse, after all it's only a default. This will save the user from selecting on a line by line bases each time they add items to a purchase or sales order.

    The technical people never have issue in developing such a small thing. It’s very minor customization. But always it’s good to see the impact of a customization as a whole, in a broader prospect. We should not always think about user easiness. ERP’s are made for financial decisions and not merely for user easiness to Data entry. If Data entry is the only point, Excel is best we can use.

    What trouble warehouse guys will face, after this development???  Is anybody thinking that?

    What if the warehouse guy was sleepy and simply clicks Receive items and it went it to a different warehouse than it should. Because warehouse and site came from HR/employee.

    Will warehouse guy create Transfer Order/Journal now? Because warehouse guy has received in a wrong warehouse. This is possible in an environment where multiple warehouses are there.

    Doing this development is not a hard job.

    Dear CJ Singh,

    I will suggest you some thing here. If you can stop this requirement please try to stop this. Other wise you will face many issues in current future if you have multiple warehouses. If customer is fully organized for warehouse management you can implement this.

    Dear all, this maybe a unique requirement but its a real need - not stupid :). Company is organized in branches and each branch is responsible for their own warehouse and inventory. When a person submits a Purchase Requisition all items require a site and warehouse. For a 30 line item PR, user will have to go to each line item and type in the same site and warehouse - painful process. Defaulting it to the warehouse they are associated with will be a huge time saver.

    I would have expected R3 to have this available via Warehouse Mgmt. module or maybe link it to Worker location in HR module. Not seeing it anywhere.

    Would prefer to do it without customization. Thanks

    Dear CJ Singh,

    In this I will suggest you for the customization.

    Put the financial dimension on each employee and customize the business unit form and put the site and warehouse relation with business unit in that particular form. Now you have a relation between business unit, Employee and Site & warehouse. And financial dimension provided on employe will be defaulted in purchase requisition so ask your developer to bring default warehouse from that business unit form.

    But still I saying you will face issue later. Please analyze the pros and cons.

    Interesting so many comments expressing the stupidity of associating a worker with a site and warehouse. It is actually a requirement that has been included in various ISV solutions and something I have found particularly useful for exactly the purpose CJ states.

    If you are going to call something stupid, then I suggest you explain why you think it is so. Making generic comments, like you will have problems in the future aren't particularly helpful. It is ONLY a problem if the business has a centralised warehouse they bring goods into and distribute to the branches from there.

    But that merely requires the purchasing and distribution model to be defined and the rules for how the model will be met by the solution documented and signed off. It certainly doesn't make the proposed solution stupid in and of itself.

    Hi Stephen,

    If you guys have centralized purchasing and your material is always arriving at fix locations(which is associated with worker) ; you can proceed with this customization.

    But in case, if you item are not arriving always on warehouse, attached to employee, you have to change warehouse on PO depending upon where it will be received than always at fix location(employee's attached warehouse)

    Hi Sohaib,

    I think you might be surprised how many organisations actually raise purchase requisitions for expenses directly to a site or branch. There are many instances when this occurs and the majority of requisitions raised in my experience are for non-inventory items which are purchased directly to a site.

    Anyway, I am just saying the request made by CJ is not stupid and is currently used successfully by many large organisations throughout the world. Further, if the business has a centralised distribution model and sites are raising purchase requisitions for these items, then the solution may need to be extended to cater for this.

    However, remember a couple of things; if goods are bought into a centralised warehouse and redistributed, the business is likely to have a centralised purchasing function and any requisitions raised from sites would be to transfer goods from the main warehouse to the distribution warehouse. Hence the requisitions is converted into a transfer order (rather than a PO) which is supported by AX2012.

    As way of an example, imagine a business with around 3000 employees working on multiple sites, raising requisitions on a daily basis. To have the correct site and warehouse default onto the PR can make a lot of sense. In fact it is less likely that the person requesting the goods would be doing so for a branch or site they not associated with I would have thought. If I raise a requisition on behalf of someone, then clearly it would pick up the site / warehouse associated with the requester.

    As I began with, this is a common request and has been included in several global industry solutions including mining, construction, automotive.
