Most Used Entity Based on Audit Records

Hi Experts and Community Folks, 

We use Dynamics 365 CE online. Due to recent Team Licensing changes, we have to restrict the Entities to 15 in the App of Sales Team App

I want to identify mostly used Entity/Entities based on Audit History. it does not matter which operation is performed. I purely need to identify which entity is mostly used in Operation. 

Currently, I do not think CDS to SQL does the job as Audit history table is not exposed in there. 

Is there any tool or any OOTB way of extracting the data and analyze it?

    Hi,

     

    Firstly,  there are 7 default entities in "Sales Team" app, the Team Member License can't bring in more than 15 additional entities. So plus 15 additional, the maximum quantities are 22. https://docs.microsoft.com/en-us/dynamics365/get-started/team-members-license

     

    Then for how to identify mostly used entities, maybe you can use the "audit summary view" > "entity" column to have a basic check. But please remember to enable auditing for entities.

    Thanks Yiming. What is about if the entity is being used as a subgrid/lookup. will it count as an additional entity

    Regarding the Audit Summary View, I will so the basic check

    Hi,

    If you also want to look at number of operations performed based on entities then you can check reporting/analytics section in admin.powerplatform.com.

    Make sure you select correct environment at right top corner.

    Hi Suganthar,

    Per my testing, if the entity is being used in lookup, it will not count as an additional entity. In my test, "Sales Team" app has already contains 22 entities, then I created a lookup field, the target record type doesn't belongs to 22 entities. This field can be used in the form, no issue.

    Re querying the audit data, unfortunately there's no easy way to get this data. Your best option is to try using the Audit History Extractor in XrmToolbox.

    Otherwise, you could query based on the modifiedon or createdon attributes, which will only give the last change, but may be sufficient for your purposes
