Parts Consumption - Roll of Tape and other Misc Products

I am looking for best practices for keeping track of inventory on the following types of bulk items.

  • Small Washers and Screws (box of 50)
  • Tape (roll of x feet)
  • Retaining Clips (box of 25)

Due to their size and unit of measure, the items above are not generally consumed individually on Work Orders. For instance, a technician may use 4" inch increments of tape on 100 Work Orders. Since the unit of measure is "Roll," rather than "Inches," the technician cannot accurately deplete the stock by adding the portion used to the Work Order. 

Is there an acceptable way to reduce the tape roll inventory when the roll is depleted?

    You can use Inventory adjustments and transfers to reduce the inventory as the following screenshot shows:

    You could do this....but my question to you would be - if you want this to update automatically, then have you thought about creating a product with the UoM of how the product will be USED on a job?  Example:  if the roll of tape is 50ft (or 600 inches) and you use 1 foot on a work order, then you could have it auto updated.  My second question would be:  Do you need to keep inventory on items such as screws, bolts, washers, tape?  Normally those are incidental items that the majority of companies I've implemented FS for do not bother even tracking.

    Actually, we do not need to keep track of the inventory of incidental items, but field technicians need to have the capability to order and receive these items. We are currently using a price list to limit the the list of parts that the technicians see when adding parts (Products) to a parts order (Purchase Order). All of these products are listed as Inventory items and have a $0 price. When the technician receives these products on a Purchase Order Receipt, they show up in inventory. Do you have a suggestion on a better method to exclude them from inventory?

    What you would need to do is setup the Product (in the product catalog) with the Field Service Product Type = Non-Inventory.  This way, you can still use the products in the way you want, but they will not show up in your inventory.  I hope that helps.  Now, you may need to retire the current parts and clone the existing.  The reason is:  you cannot update the Field Service Product Type field once you enter it in and save the record.

    Hi - what we have done in the past is have the engineer consume the item when the pack/roll/box is opened.  As these are low cost items the Work Order they are on takes the hit for the cost but that way we can still manage the re-ordering of these products.
