Hi all,

Is there a way for "Marked as Complete" Appointments to be OPEN again via Workflow?

I tried to create on demand process workflow:

If Appointment Status = Complete THEN

-this is where I got stuck on, how do I tell it to make it as OPEN again. Any suggestions?

Thanks so much!

I am using CRM 2011

If I remember correclty, Status=statecode in the databse. Status Reason = statuscode

StateCode can be Open, Completed, Canceled or Scheduled. If status = completed then status reason = completed as well. So to make it "not completed" you'd have to find status = completed and then set status = Open and StatusReason to soething other than Completed. I'm not sure that's going to work with a workflow as I've never tried it but if I were using an integration tool like Scribe, this is how I would do it.

    Hope that helps.

    Hello,

Yes you can achieve this by a workflow. I tested this in my lab and it worked.

    Create an On Demand workflow

Add an If condition 'Appointment ; Status Reason ; Equals ; Completed

Below the if condition Add another Step 'Change Status'.

On the Drop down beside Appointments, select Free.

    Save and Activate the workflow.

Now test it on a Completed Workflow.

    Regards,

    Rajesh. R.

    Hi,

Were you able to follow the above steps mentioned to create a workflow that would change the Status of a Completed Appointments to Open? Did it resolve your issue?

Rajesh - thank you so much for your help. I just activated this and it's awesome.  We have custom Appt codes so our management knows what type of appt the sales rep is on (New Business, First Appt, Service Call, Incremental Sale).  Sometimes the reps forget to select the codes and close the appts as complete. This workflow allows them to re-open the appt and select the code, then re-close. Thank you!

With that said, you could build a sync workflow that changes the state of appointments to open or scheduled. You could make this a step easier by running the said workflow from a custom button in the ribbon. I have found on my projects that this makes the user experience much better. Below is pretty much a zero code solution I often use

hello, you can use the sample in the link below but you need to make the workflow on demand and set  it to update appointment (not on create record):

    Hi Rajesh,

I tried this and get this error message. "Process Error.  An automatic process cannot be activated if no activation parameters have been specified. Add activation parameters, and then activate."  It won't let me open the completed appointment.  I'm able to open completed tasks.

    Never mind, it worked!
