I'm just returning to the D365FO fold from being outside it for two years. I had a recollection of someone building their own license estimator to go alongside the official Microsoft one - and who used to cite common simplifications/assumptions the Microsoft one made that could queue up unnecessary costs of D365FO. AFAIK they're not using any Project functionality and their trade is electronic - with no warehousing used.

I'm looking at a situation where a straight Finance/Team licensing setup has spat out demands for SCM and Project Operations licenses as well for the tenants users to become compliant.

Are the issues with the estimator still a thing - or is the Microsoft estimator now pristine and flawless? Any help/guidance/pointers most welcome :-)

    Hi ,

    Microsoft licensing eco system for Dynamics 365 Application stack especially for Dynamics 365 F&O has gone through a huge change. Now licensing is effected by what kind of roles , duties and privileges are assigned to a specific user but by the use of that particular module or functionality. 

    For e.g There is a user Sam who we have assigned the role of Project Manager , Accountant or supervisor and if that Out of the box roles has duties related to Project Management or related to it then it will definitely consume Project Operations Attach License whether he or anyone in his organization opens Project Module or not.

    In System Administration Module you can easily view the newly added role based reports which will give you a better clarity before you want to decide to buy a license.

    Thankyou. So if you do custom roles, it deduces the license needs from the duties and privileges as assigned to the role. In which case, looks like a cram session of recording each process (as you do for security setup).

    At my last place, we set up 14 custom roles as the Microsoft definitions were too wide for us in places. Eg: Accountant had access to bank accounts, which our CFO assigned to the Finance Controller exclusively.
