CRM Online Backups / Restores

I'm curious about the way that backup/restore works for CRM, specifically for critical user error. My understanding is that Microsoft performs nightly backups and that if a restore is required, a ticket would need to be raised and Microsoft can revert the environment to the last nightly backup.

This site: http://www.xrm.com/crmonline/FAQ/Microsoft-Dynamics-CRM-Online-FAQ.aspx notes some disclaimers to that, namely:

Microsoft cannot perform a restore if any of the following administrative changes have been made since the most recent nightly backup:

•             The number of user licenses is changed
•             the amount of storage is changed
•             a new user accepts an invitation
•             or the yearly subscription is renewed.

My customer would be making changes like this on a fairly regular basis. Does this mean that if any of the 4 bulleted changes are made, they would no longer have any good backups until the next nightly occurred?

They can perform a restore if there is an system outage - it is just that they cannot restore the database as part of the support process. I suspect that if there was a significant issue they would do their best to restore the org - but there are no service level guarantees. The reason for this is that these changes bulleted make changes to the CONFIG database which must be in sync with the ORG database. When Microsoft backup the ORGs they also backup the CONFIG database - so when restoring as part of a disaster recovery they would restore both the databases - but obviously they can't restore the CONFIG database on request of a customer because it would affect other ORGs for other clients.

    Hope that makes sense.

Thanks for the reply Scott, I really appreciate it.

I'm still a bit confused about a few things:

    1. If what you are saying is true and that the bulleted changes affect the config database which is shared by other customers, wouldn't a bulleted change by ANY customer then affect the ability to restore an org database?

    2. Isn't this a major red flag for potential customers of CRM Online? If there are no guarantees that Microsoft can restore data in case of user error (like say if a user deleted a bunch of records they shouldn't), what is the best practice way of ensuring data is protected? What do you tell your customers?

    Hi,

    1. This isn't a problem because changes by others don't affect your ORG and it's just the ORG needs to match the changes related to your ORG in the CONFIG database.

    2. I tell my customers to only plan on using a database restore in disaster recovery scenarios and remove 'delete' rights from all users - instead records should only be deactivated. Additionally there is the audit trail that gives you a record of previous data before a user changed it.

    Hope this helps,

    Scott
