Change Action message in requisition worksheet

Hi

When I run the Calculate plan function in the requisition worksheets I get an overview of items to be ordered. Each of them has an Action message.
Some items carry the Action message = Change qty. This modifies the number of items to be ordered in an existing purchase order. I want to avoid this at all costs.

I am unable to change this action message (error: Action Message must be equal to 'Change Qty.'  in Requisition Line). Is there any way to achieve this?

What causes the action message to be Change Qty? Are there specific triggers I should avoid?

Thanks voor any advice!

    Hello,

The Change Qty. action message in the Requisition Worksheet appear when Business Central detects that the existing Purchase Order no longer matches the current demand in terms of quantity, date, or both. These are triggered by changes in planning parameters like Reorder Policy, Lot Accumulation Period, Rescheduling Period, or updated demand forecasts. When both date and quantity adjustments are needed, system will ensure supply aligns with demand accurately. You cannot manually modify these action messages, but you can avoid them by carefully setting planning parameters and choosing not to carry out the suggested actions.

Hope this answer will help you!

    Regards,

The Change Quantity suggestion happens when the demand for an Item increase (or decreases) on a given day or time period depending on your Reordering Policy.  If the change is negative, but you'd rather keep the original quantity, you can try using the Dampener Quantity to allow the decrease, within a threshold, without the system reacting.

It sounds like you don't want to change the Qty on your existing Orders, which is understandable.  You can also test using the "Planning Flexibility" field on the Purchase Order Lines, which can prevent planning from making changes.  You want to test many scenarios on this to ensure you agree with the system suggestions (or lack thereof) as it has the potential to cause late supply if the demand date changes.

Since the suggestion is a Change Quantity, the Quantity field is a combination of your existing PO + the additional demand for the Item.  You wouldn't want to change the Action Message to New, as this would duplicate your existing PO quantity.  If done manually, your best bet would be to delete the Change Quantity line and enter a new line for the Item for the additional demand.

I hope this gives you some guidance on how the system is making its suggestions.

P.S. The Planning Worksheet operates similar to the Req. Worksheet, but with a more robust planning engine.  You might give it a try as well to get better feedback on the suggestions.

The “Change Qty.” action message in the Requisition Worksheet appears when the system detects that an existing supply (like a purchase order) partially meets the demand, and adjusting the quantity would fulfill the requirement more efficiently.

Currently, you cannot manually change this message because it's system-generated based on planning logic. However, to prevent this from happening:

Avoid reusing existing POs for future demand by enabling the setting Rescheduling Period or shortening the Lot Accumulation Period in the item or SKU card.

Set Planning Flexibility on your existing supply documents to None to prevent the system from modifying them.

Use the Planning Worksheet instead of the Requisition Worksheet for more control (e.g., review before carrying out actions).

If you always want new POs and never changes to existing ones, consider customizing the planning engine or using filters or planning parameters to avoid merging demand with open supply.
