Emails showing both the Contact & Account (Organisation) & Campaign code

Hi

We are struggling to associate emails, with both the recipient (via Tracking) and the Account they represent, particularly when they might represent more than one account, and the associated Campaign.  We are a charity/non-profit and deal with people who organise fundraising activities with their group or church.    I realise that we can put both the contact(s) and Organisations in the Activity parties field for other types of activities.

We have attempted to solve this by either:

a) putting the Account they represent in the Regarding field, but this means that we cannot then associate it with the relevant Campaign - another important link.

b) Keeping the Campaign code in the Regarding field, but this means that we lose the connection with the Account.

Any ideas on how we can get around this?   Do we need to add a Source Campaign field to each activity type?  We were told that this might cause functionality issues if we were to do this, although we can't see why.

    Hi SSnell,

    The email form will be locked except for regarding field  after sending the email.

    So you can create a new business rule to unlock the account filed.

    Go Settings > Customizations > Customize the system > Email > Business Rules.

    Save and Active it, then publish all customizations.

    Now, i can change account field value though the status is completed.

    I've realised that what we need to do is to update the tracked email record in Dynamics after it has been sent.  The only field which we can use for this is the Regarding field which allows it to be switched.

    Even if we had a separate Account field on the Email activity record, it would be locked when we wanted to update it because all fields apart from Regarding are locked once it has completed.

    Hi SSnell,

    1.Through my test, only relationship type of behavior is ‘Parental’ can show child’s activity in parent timeline.

    New 1:N relationship Account and email entity I created is ‘Referential’ relationship type, which has lookup field—Account, and OOB 1:N relationship with ‘Parental’ type  has lookup field—Regarding.

    So you can’t change new relationship type to ‘Parental’ because one already exists, which means that you can’t view emails in the timeline of the account that filled in the account lookup field.

    2.Maybe you can create an email sub-grid related to the account lookup field in the account form if you want to view emails in related account form.

    Go Settings > Customizations > Customize the system > Account > Forms to select one form you need.

    How can I make the Emails which have the Account field added appear in the Timeline for the Account?

    Hi SSnell,

    You can create a new N:1 relationship between email and Account entity, then add the account lookup field to the email form, then you can put the Account they represent in the field.

    Go Settings > Customizations > Customize the system > Entities > Email > N:1 relationship.

    Then go one email forms to add the lookup field.

    Save and publish all customization, the test.
