"Do not allow manual entry" Issue

Hello, I need to make some adjusting entries and some of the accounts involved are marked as "Do not allow manual entry". How can I get around this, It will not let me disable the "Do not allow manual entry" box. My supervisor is also unable to change this setting and we cannot figure out a way to post a change to the Accounts Payable account without using the AP Module, which would then leave an open invoice showing in AP.

I've read a lot of posts that say you can uncheck and recheck this setting, but we seem to be unable to, regardless of what roles are assigned to our user profile. I am stuck and not sure what to do, any help would be appreciated.

This sound like a security permission issue.

Just to make sure we are on the same page, you navigate to GL > chart of accounts > Accounts > Main Accounts (assuming you're in D365)

    What is your security permission?

Can you have your account set as system administrator, and try again?

    I am using AX 2012 R3.

I navigated to GL > Main Accounts > Accounts Payable

I have the exact same security permissions as the system administrator and he is unable to change the setting as well. My best guess after a few hours of research is that there is a setting in the AOT or Security Permission that is preventing anyone from switching this setting off. I just have no idea how to navigate to it.

Are other settings on the MAin Account list editable? (account description etc.) or is the whole Main Accounts list "view only"?

Are you able to change other ares in GL? (let's say a description of a financial dimension value)?

If your user account is assigned with the "System Admin"  role it "turns off" all security checking, not simply grant you access to everything, so I don't think this is likely to be a security permission missing on your account.

    Hello JordanH,

As a workaround, can't you simply create a new 'sub-account' in the COA - that is reported together with the main account that currently seems locked - and post your adjustment/correction there?

This seems to be the better approach to me because creating a posting on an auto-posting account will result in a difference between GL and the subledger module in the standard reconciliation reports.

    Best regards,

    Ludwig

    Hi Jordan,

What is the exact reason you need to do manual transactions? If you uncheck it and it is used for e.g. the vendor balance, you would not be able to do a proper reconciliation between subledger and the ledger anymore.

If you have the system administrator rights, then you should be able to edit the record unless there is a customization or ISV solution involved which changed the standard behavior.

Zvika, I am able to edit most things in the account, a few things are locked but not many.

Ludwig, what would the best way to create a sub-account be? I have only been working with Dynamics AX 2012 R3 for 1 month and am still learning a lot and did not know that was an option. If this "Accounts Payable sub account" properly flows through to the balance sheet on the Accounts Payable account then this would work.

Andre, Our accountant has asked me to make some adjusting entries, the short version of the story is the person in my position before was posting inter-company transfers through accounts payable, which has overstated our AP account. When I went to make the entries through GL I found it was locked to not allow manual entries. I have been researching ever since to try and fix it with no luck and decided to try the forum.

There is no out of the box functionality doing that - this must have been some customizations done in the system.

Do you have a "demo" environment with Microsoft's own demo data? - you can verify it on that environment

Yes I do and it seems to be a customization. But if posting through the GL will make it so I cannot reconcile then it seems the only option is to make a sub-account. Which leads me to another question...

How do I properly set up a sub-account that reports to my Accounts Payable account? I will have to do some more research on this tonight and test it, then implement it. What I am thinking is a new account...

Our Accounts Payable is 20000, so maybe a new sub-account that is Accounts Payable Adjustments that is 20001?
