Field Relationships in Workflows

(0) ShareShare

I have created a workflow with several fields within each stage, but the fields seem to be linked and if I change the status of one activity (No - Yes), the fields in the whole workflow change.

For example if I have the Workflow stage 'Primary' with the fields 'Account created' 'Order Processed' and 'Order Delivered' which have Yes/No fields, when I click to change 'Account created' to Yes, 'Order Processed' and 'Order Delivered' are also changed when really I want them to stay as 'No' until I decide otherwise.

Needless to say this stops me from using the workflow system to keep track of my progress, any help would be much appreciated!

Thank you.

You need to work out why those other fields are changing.

    have you got any

    javascript

    workflows

    business rules

    plugins

which maybe changing those values on the save action.

looking in the audit might help tell you what is changing those fields

Thanks for your quick reply Ben,

The fields are labelled differently but are all in the 'Activities Complete' category - could this be the reason?

I don't have any plugins, and the only workflow we have at the moment is the one I've created.

Lastly, how do I access the audit and how would it help with this?

    Hi Pascale,

Did you set any Default Value of fields to "Yes"?

And you set the field is required, so never Null.

Or are you feeling without any purpose to give the Order Delivered to Yes in the Workflow?

    For example:

Email and Bulk Email, assuming they are your fields.

If that is the case, check your workflow, then you need to clear the value, check this link:

    http://www.powerobjects.com/blog/2012/05/17/remove-a-value-from-a-two-options-field-in-a-dynamics-crm-workflow/

And agree with Ben, you can turn on the audit history.

    Hope this helps!

    Thanks.

Do you really mean Workflow, or are you talking about a Dialog or Business Process Flow?

Assuming you mean a BPF, can you check the steps in the process flow editor and make sure they are not all tied to the same field but simply labelled differently? You can't create arbitrary steps - all steps have to be tied to a field, so this may mean you need to create fields for Order Processed, Order Delivered on the entity first, then add steps for them in the BPF.

    Hi Adam,

I do mean Workflow, I don't know what a Dialog or Business Process Flow is so I definitely selected workflow when I was creating the Process.

How do I access the editor to make sure they are not tied to the same field?

    Thank you,

    Pascale

It might help if you can post a screenshot.

I can't quite see what you mean by your description. If you have stages in a Workflow (which are entirely optional), then in each stage you have steps which do things like update or create a record or change status, or have conditions. You can't just have fields in a workflow stage, I can't make sense of exactly what you mean here.

Also, users don't get to interact with a workflow - it is triggered by something, then it runs on the server until it is done. You can't click to update "Account created" or anything else once a workflow is running.

The things that you are clicking that cause each other to change - where are they on screen? What do they look like? What is the name or title of the window / dialog box or whatever where you can see them?

    Hi Pascale,

Have you added 1 step in your workflow..

Check if the field = Account created then run your next actions?

It might be you forgot to clear the value (I mean clear to do nothing, not clear the existing value)
