AX 2009 users to AX 2012 Users

Hi.. We are currently using AX 2009 and planning to upgrade to AX 2012. 

We have free license for Dynamics 365 due to our the enhancement plan we have paid for AX 2009. However we plan to downgrade the license to AX 2012 since the implementation will be cheaper and AX 2012 fits the bill. 

My question is, we have concurrent users on AX 2009. That means any users on the domain and having a profile in AX 2009 can use the system at any time, provided that only 6 business essential users are logged in to the system at a given time. 

I learnt that it is different in AX 2012. How are the users treated in AX 2012? What access rights will they have? Can a business essential user have admin privileges and customization rights etc in AX 2012 the same as it is in AX 2009?

    You will have to convert to D365 licenses and then downgrade to Ax 2012.

    That of course assumes you are current on BREP/AMC.

    If you have less than 20 enterprise users then you will have to go on- premise - Microsoft will not set up azure environments for less users.

    You will probably get a cash value equivalent for Ax 2009 licences/modules to offset against new D365 license purchase- I believe the option to convert licences is now gone. 

    Note the changes to license types and prices. No task user, no functional user etc. be aware that unlike Ax 2009 Ax 2012/D365 means the access rights you give  determine the license you need- the license does not restrict the access - you have to manage that.

    Note also that once you convert your BREP and any extra licenses added will then be based on D365 licence costs.

    On-premise there is a significant hardware and SQL database requirement if you go D365,  so Ax 2012 will be simpler, but is only an only option for another 2-3 years.

    Hi Iron,

    Suppose the license had been transferred, then the license for AX2012 and Dynamics 365 is based on named users. You will have the license for a certain quantity of users. You don't have to provide names of users to Microsoft. Just instead of concurrent, the license counts the real number of users setup in the environment. There are several type of user CAL, where one type can access more enterprise level of functionality and other types will have e.g. access to tasks like completing timesheets. You just have to ensure you don't assign more users than available in your license per user CAL type. Actually, it is possible, but would be a license violation if you permanently exceeds the licensed number. There are batch jobs running which periodically will count the number of users within the system.

    How the migration from AX 2009 concurrent users will be done to Dynamics 365, I can't help you. Then you need to contact Microsoft or your partner, like Ludwig mentioned.

    I am not the one who can answer you that question. My company has a separate licensing team because that stuff is so complex.

    If this is something that you need urgently answered, I would recommend reaching out to MS directly.

    Otherwise, wait for other community members to respond to this thread.

    Thank you for your reply Dr. Ludwig. Also let me ask, how are the users designated in D365 / AX2012? Is it that we provide a particular set of user names to microsoft and get the license? How does it work?

    Many thanks for your feedback.

    About your licensing issue, I would recommend that you get into contact with your local MS office.

    As you mentioned there are no concurrent user licenses any more in AX2012.

    Transferring the existing licenses is a super difficult and complex issue and you need an licensing expert from MS who can give you a definite answer to your question.

    Regardless of costs, if we upgrade to D365FO, how are the business essential users mapped and what access rights will they have?

    The cost of upgrade - implementation by our consultant, hardware / server requirements etc for D365FO are too high for our company.

    We don't like the idea of the cloud and would like our systems to be on-site. On-site implementation hardware requirements for D365 is higher than for AX 2012.

    We are a comparatively smaller organization.

    Why is it that you do not directly migrate to D365FO?

    AX2012 will be out of the maintenance cycle in the next couple of years and it is just a matter of time until you have to upgrade to D365FO.

    Why don't you do that now?
