Teams Webinars vs. Teams Webinars via Dynamics 365

I previously posted this in the Microsoft Teams channel and was directed here for expert advice.

My company currently uses Dynamics 365 and the Marketing App for event planning and communications. We appreciate the link to our CRM for reporting and attendance tracking, but we have a huge issue with folks not adding the registered events to their calendar. We've explored the Teams Webinar functionality straight from Teams, and that sends all registrants a calendar invite immediately - which is what we want to replicate.

This brings me to a few questions:

  • If we move to creating Teams Webinars straight from the Teams app, is there a way this information can sync with our CRM in Dynamics?
  • If we continue using the Event Planning Module in Dynamics, can we replicate this automatic calendar hold for attendees instead of using the calendar import button/link in communications?

    1. Teams Webinars (created directly in Teams) → Sync to Dynamics 365?

    Yes, but it requires extra tooling. Teams Webinars created natively in Teams don't automatically push data to Dynamics 365. Your best option is Power Automate, which can:

    • Trigger when a new Teams Webinar registration occurs
    • Create/update a Contact or Lead record in Dynamics 365
    • Log attendance post-event

    This gives you CRM sync, but the setup is manual and requires maintaining the flow.

    2. Dynamics 365 Event Module → Automatic Calendar Invite (like Teams Webinars)?

    This is the more promising path. Dynamics 365 Marketing / Customer Insights - Journeys supports Teams Webinar as a provider for events created within Dynamics. When configured:

    • Registrants receive an automatic calendar invite (with the Teams join link) upon registration
    • Attendance and registration data stay natively in your CRM, no sync needed

    To enable this:

    1. Go to Dynamics 365 Marketing → Settings → Event Management → Webinar Providers
    2. Connect Microsoft Teams as the webinar provider
    3. When creating an event, select Teams Webinar as the streaming format
    4. Ensure your registration confirmation email includes the Add to Calendar action, or use a Customer Journey trigger to send an .ics calendar file automatically on registration
