Multiple Line Invoice Template

Is there a way to save a multiple line  invoice template that can be used each month? For example, each month we receive a telephone invoice from one vendor with multiple lines but hitting different financial dimensions. We tries doing this using an Excel add-in but the published data to the staging table doesn't always work correctly so this is not the best method. Any thoughts on how to do this? We are currently implementing Dynamics AX 2012 R3 and have looked at a few options but haven't found a good solution. Thank you.

    Yes. You can use dimension templates to divide the line between different dimensions. It can be a percentage for each granular level you input. When created, you can simply apply this template to the journal lines.

    This is more common for AR than for AP so most of the available explanations cover AR examples.

    Accounts receivable > Setup > Free text invoice templates.

    Use this form to create free text invoice templates that can include invoice lines, charges, an accounting distribution template, and ledger account information

    Thank you for your help, I will check out the links. I have also noticed that most of the documentation is geared towards A/R and customer invoices. Can you confirm that it is possible to use the free text invoice template for a vendor invoice? Thank you

    Kirsten - The free text invoice template is only available for the free text invoice, not for the vendor invoice. You didn't say where the vendor invoices are being entered.  They can be entered through the PO or through the journals. For utility-type invoices as you described, we often see customers using the Invoice journal to enter the vendor invoice.  

    If you use the Invoice journal, you can accomplish this by use the Periodic journal, which is basically a recurring journal. Under GL - Periodic, create a new periodic journal. In the Lines, create your transaction (with or without the amounts).  If you have more than one recurring transaction per vendor, just use the voucher number field to group the lines together than represent one transaction. It can be any number. Then when you create the invoice journal, you can select to retrieve the periodic journal to create the transactions.

    Hi Kristi,

    Thank you. The Periodic journal worked nicely, but when I create the invoice journal and retrieve the periodic journal, the system is requiring me to enter account financial dimensions (Fund & SubFund) for the vendor. Because of this I can't enter lines with different funds. The vendor account is going to a balance sheet account which fills the dimensions in w/ a zero mask except for Fund & SubFund. Any way you can think of to get around this? Thanks again

    Hi Kirsten,

    I don't know the public sector functionality in depth (since you are using Fund/Subfund), but I wonder if you just need to define default dimensions on the Periodic journal.  When you enter an account of Vendor/Customer on the periodic journal, you can see the Financial dimension dropdown on the action pane.  This is where you can define default dimensions for the Account type you selected.

    Hi Kristi,

    Yes, adding the financial dimensions helped, I will have to use separate vouchers when we use different funds. One last question, I now have several templates that I would like to delete. Can the voucher templates be deleted once I have saved them? Thank you for all your help!

    The periodic journals is simply a template so it can be deleted at any time, even if you previously used it create journals. Also, it's a best practice to enter a separate voucher number in the template for each 'transaction'.
