Web file in customer portal can't be downloaded for users without Portal Administrators role

Hi everyone,

Good day!

We created a customer portal through power apps.

There we made a resource download section to publish some technical documents to our clients.

The documents are attached as Web File memo in Dynamics CRM and can be opened normally in Dynamics.

However, when going to our customer portal, only users associated with "Portal Administrator" web role can download the documents.

Other users just got an error message "Access denied" and the download failed.

Comparing "Portal Administrator" role with other roles, I didn't find any different access restrictions, entity or web page access, all is the same.

In addition, both roles can normally access the mother web page, just showed different download results.

Any ideas, please kindly share it with me,  thanks in advance!

I have the same question (0)

    Hi,

Please check and configure entity permission properly . If you are trying to download the attachment on a note then check the permission for annotation if its not there create one

    Hi Soumen,

    Thank you for your reply!

I tried adding an Entity Permission for "annotation" as below, but still got the same error "access denied".

In addition, I also tried the method you mentioned in the following link.

    https://docs.microsoft.com/en-us/powerapps/maker/portals/configure-notes

Unfortunately, after configuration finished, "Add Notes" button didn't appear...  Seems that neither works at present.

As a supplement, the documents are now added as Notes in "Web file" and documents related info(name, overview)can be viewed normally in our portal.  Only download failed due to "access denied".

Is it originally impossible for us to manage documents in the portal through Dynamics "Web file"?

Any other advice, please kindly share it with me!

    Hi,

Please go into the detail view of the entity permission and verify the parent entity permission and web roles as well. For example if you are uploading document for a case notes then the parent should be case activity. Now in the parent please check the relationship you selected based on that only the required users will be able to download the files. IF you select the scope as shown below then the case contact and customers can download the files

    Hi Soumen,

Thank you for your quick feedback!

I'm still a little confused about the "Parent Entity" access configuration.

Since all of our documents are saved through "Web file", I set the "Son Entity" and "Parent Entity" as below, but didn't work.

    Parameter Son Entity Parent Entity
    Entity annotation  adx_webfile
    Scope Parent Globa
Privilege All accesses except delete All accesses except delete

It would be really appreciated if you can share the "Parent Entity" setting with us.  Thanks in advance!
