Email notifications sending duplicates, triplicates.

Posted on by 37

After a long period of stability, September 30th, multiple workflows began sending a second or third copy of an automated email notification.

I created a Email Sent field and recomposed a new workflow from scratch that tests the condition of the Email Sent field before proceeding, then modifies the field after sending the Email.

This worked for two new records and then fired off a triple again.  All of the emails are time stamped the same at 1:23:33

Start when Record Status changes

I have calculated field in the Email so I am unable to use a wait condition.

I see lots of posts where automated emails don't fire off.   My problem is the system bombing the recipients with too many copies.

    Thank you Leah,

After I posted this request for help, my new process ran correctly for the next 5 orders.  Maybe the single event sending triplicate emails is a fluke.  I know that there is javascript that is sending information to our ERP based on the same event (submitting an order) that I need these emails to trigger.   Could javascript create inconsistent behavior for a workflow?

To answer your question, there are two different emails.   The first is a notifications for all new orders.   The second is a notice to management of a larger order.

Oddly, there are no Workflow Jobs in the System Jobs table for 10-4-22.  The Process Sessions table on the Workflow is also empty.

I appreciate your help, this is like taking your car to the shop because the engine is making a noise and it stops knocking when you get there.

    Hi Justin,

Are the emails sent in these two steps the same?

Why set the three conditions to be parallel? Can you describe your needs? Under what conditions are email notification sent?

As soon as the record meets the conditions, the action will be triggered, They are very similar.

Maybe you can try to gather them together, there is no need to set multiple parallel conditional rules, just like following:

According to your screenshot, the steps you show are part of the full steps, can you share a screenshot of the full steps to help me be able to reproduce your scenario?

You mentioned that Workflow set to run in the background, Have you gone to system jobs to check how the workflow is running?

Could you also share screenshots of the system jobs?
