AnnotationBase (Notes) entity size increased drastically

Hello all,

We are facing strange behavior of our CRM database. Suddenly on February 26th size of our Annotation entity increased from 500 MB to 4.6 GB. We have checked all notes created on this dates and there is only 5 Notes with files under 1MB of size. After that we have deleted all the Notes created from 25th to 27th of February, also we tried bulk delete for old records, but nothing changed. As You can see the File storage for (Notes) remains unchanged for all this period. Now we are out of ideas what else can cause this sudden increase of size. I would be grateful for any suggestions from your side on what can be checked.

    Hi Eddie,

    I would strongly suggest submitting a case regarding this investigation. The quick rise in the annotationBase table is indeed unexpected. AnnotationBase table stores notes but it consumes a lot of space because attachments to records are stored in this table as well. Please follow these instructions https://docs.microsoft.com/en-us/power-platform/admin/free-storage-space#reduce-file-storage

    If that won't reduce the storage, please submit a new case for this.

    Hi Alex,

    Thank You for your response. Correct me if I am wrong but aren't the notes Files/attachments registered as 'File usage' (the bottom part of the screen)? As You can notice  We have big decrease of Attachments File usage, it happens because we move attachment files to SharePoint, but from Database usage perspective Attachments decrease was small. If I understand correctly Databese usage calculates only basic fields like Name, File Name, Description etc.  If this is correct then it is even more strange that AnnotationsBase growth by 4GB while there were only 5 new records on these days.

    Hi Eddie,

    Yes, I do agree. I would submit this as a case to our support team and they will be able to review the specific details for this unexplained growth in this table for this specific instance. DataBase usage is calculated with indexing as well, so only our support team will be able to get to the root of this behaviour.
