Active From & To dates in account structures

Dear all,

I have new dimension called "Vehicle" and this dimension I want to use from April 1st 2025 for all the transactions.

But for back dated transactions before April we should not use this new "vehicle" dimension for the transactions.

I want to understand how this 'From' and 'To' Active dates will work in accounting structures?

HI,

I think in Dynamics you can't configure to display list of applicable dimension based on effective date. Only control from date brings is to show error if the transaction is before the activation date

I have tried advance rule structures, but still system is not allowing to post transactions before April 2025.

Based on the configuration below, the system should ideally display vehicle dimensions starting from April 1, 2025. However, when I post a transaction on March 29, 2025, the vehicle dimension is activated.

Our requirement is this vehicle dimension should be active from April 1st, 2025, not before.

The Active From and Active To dates in account structures are designed to control when specific dimensions or combinations of dimensions are valid for transactions. Here's how they work and how you can configure them for your "Vehicle" dimension:

1. How Active From & To Dates Work

Active From Date: Specifies the start date when the dimension or combination becomes valid for transactions.

Active To Date: Specifies the end date after which the dimension or combination is no longer valid.

When you set these dates in the account structure, the system will validate transactions against the defined rules. If a transaction falls outside the specified date range, it will fail validation.
2. Configuring the "Vehicle" Dimension
To ensure the "Vehicle" dimension is only used for transactions from April 1, 2025, onwards:

Navigate to General Ledger > Chart of Accounts > Configure Account Structures.

Locate the account structure where the "Vehicle" dimension is included.

Add a new row for the "Vehicle" dimension and set the Active From date to April 1, 2025.

For any existing rows that include the "Vehicle" dimension, set the Active To date to March 31, 2025.

This configuration ensures that:

Transactions dated before April 1, 2025, will not allow the "Vehicle" dimension.

Transactions dated on or after April 1, 2025, will require or allow the "Vehicle" dimension, depending on your setup.

3. Testing the Configuration

After configuring the account structure, test it by entering transactions with different dates to ensure the validation rules are working as expected.

Use a sandbox environment to avoid impacting live data during testing.

4. Additional Considerations

Advanced Rules: If you have complex requirements, consider using advanced rules to further refine how the "Vehicle" dimension is applied.

Error Messages: Ensure that users receive clear error messages if they attempt to use the "Vehicle" dimension outside the valid date range.
