Dynamic 365 Guides : Restricting User Access To Guides

Hello,

I was wondering if it is possible to restrict guides to certain users?

The only documantion I can see is on the admin security guide. Is the only way to restrict users from a guide to create a new enviroment?

Example

I create seperate guides for Operator 1 and Operator 2.

I only want Operators to access their own guides.

Thanks

Luke

    Hi Luke,

There are several ways from my understanding. In the Guides documentation under the "Assign User Roles" About Author & Operator Roles it seems you have several options based on either the security feature of the Operator and the Guide.

    • Assign a role to an individual user (Rather than say through AAD or security group)
    • Assign a role through Azure Active Directory groups (instead manually doing each person or locking down the environment with security groups)
    • Restrict access to an environment by using security groups
    • Assign or share a guide by changing ownership
    • Assign or share a guide through an access team

Hi Luke, the Restricted Author and Restricted Operator roles should work for you. These security roles are designed to limit a user to guides that have been shared to them, or owned by them, or created by them. For more information, see docs.microsoft.com/.../admin-role-types. The other two built-in roles provide access to all guides by default.

You can assign roles to users (or teams/groups) on the Power Platform Admin Center (PPAC) at admin.powerplatform.microsoft.com/ by logging into the portal with your admin account. You do not have to create a new environment; you can change your security configuration whenever you want.
