Option to allow deletion of G/L Accounts that are part of Posting Groups

We are in the process of cleaning up our Chart of Accounts and recently discovered that there is a checkbox on the General Ledger Setup that validates whether the G/L Account is used in any posting group setups or not.  When selected, it warns the user and lets them know where the setup is.

Fantastic functionality.

My question is:  Why is this even an option?  Why am I allowed to delete ANY G/L Account if it is part of any of the Posting setups, thus causing issues down the road when Posting a transaction.

Potential enhancement opportunity here.

    Maybe it is a new feature for some version, while for the previous version, you could delete the GL Account, although it is used in the Posting Setup.

    By using this new feature, you could have the option to have the system "check" it upon deletion.

    This is standard setup in NAV and you cannot deetrmine is this setup for user or implementation partner. As I said, you can prevent it with user permissions. This is field for setup by the implementator. To prevent user for uncheck this, I usually remove this field from page/form and you can change this value only from table on object designer. This is very small customization, but reason for existing of this field is exist.

    I agree about selecting it moving forward and controlling this through security, and that will most likely be the practice moving forward.  We are in a unique situation at the moment where we do not currently use NAV for our financial reporting, but use GP.  (Long story)  We will be moving off of GP into NAV next year (hopefully) and are trying to do some cleanup.

    My question revolves more around ‘Why even give the user the option to turn this on or off?’  Because you can set up the system to allow deletion of G/L entries prior to a specified date, there should not be an option to delete the account if it is part of any sort of setup.  If it is, and needs to be updated, do the investigation up front to determine if it is still needed or needs to be updated, then continue with your maintenance.

    This check should be part of a Standard ERP package.  It should not allow the user the option to decide.

    This setting allows the program to protect G/L accounts that are used in setup tables from being deleted. If there is a check mark in this field and you try to delete a G/L account, the program will check if the account is used in one of the setup tables.

    It is possible to someone uncheck this setup field by mistake. It can be prevent by made role witj restrictive permissions. If someone do it by mistake, it could be problem, but as I said, we can prevent it.

    On the other hand, some financial consultant use this functionality for easy setup posting groups. They configure posting groups with some standard G/L accounts and for new client delete all G/L accounts, but in posting group they have approximate seting. They need to change these accounts with similar correct G/L accounts. They avoid potential errors, by configuring all fields by the beginning.

    Maybe, this is not the most correct way, but this can accelerate work and can reduce the number of errors.

    We also have 'Allow G/L Acc. Deletion Before' field for control deleting G/L account if entries exists.

    Hi,

    I disabled the deletion of G/L accounts entirely, when they have entries at all. There are some nice "find the error" games when you have to look for mismatches in older fiscal years, caused by deleted accounts. The entries are there, but who is filtering on G/L Account No. =''? And they won't get consolidated, BTW.

    As for the other option: When you post with a posting group which has the G/L Account missing, this is unfortunate, but not a real issue, IMO. You can get the accounting people to fix this. Often it's the case that the intended posting group is outdated / shouldn't be used, or that it's a new LOB for this company. Then they have to review the settings anyway.
