workflow and document managment

Hello,

Does anyone know how to use or configure the workflow related to document management.

    Hi Dona,

    you can configure document handing workflow you need to doc the following:

    1. Click Organization administration > Setup > Workflow > Organization workflows.

    2. On the Action Pane, click New.

    3. Select the document handling workflow

    4. add the document approval task and assign user to it.

    now for example you can create an activation rule that any attachment of type file need approval, and when a user add an attachment of type file he need to submit to a workflow so the attachment can be added.

    Hello!

    Just wanted to correct some information here.

    First of all, Document handling workflow does not have ‘Approval’ element. There is a ‘Task’ element called Document handling in this workflow. You cannot approve/reject that task, you can only 'Complete' it. So, this workflow is not used for getting approvals for documents.

    Secondly, Document handing workflow cannot be used for any type of attachments. It cannot be used with the usual Document handling form (DocuRef table) that supports, through categorization by ‘Document type’, attaching files to most records in the system. This workflow can be used only for 'Unattached documents' (DocuValue table) categorized by 'Document content type'. See the following article and three links in it for more details how to use it in AX2012.

    NOTE! In AX2012 Unattached documents can be accessed from the Document handling form (Functions -> Select a document file) and selected to be attached to a record, no matter what the workflow status of the unattached document is (Draft, In progress, Completed). This will copy the URL from the unattached document.

    PS. D365FO don’t have Unattached documents menu item so it might be that this workflow is being deprecated. Document content types and Document handling workflow are still present in Organization administration module but as Unattached documents form is gone there is no way to trigger Document handling workflow as far as I’m aware of. There’s no option to access unattached documents from Attachments form (Document handling) in D365.
