Maker Checker for sending Email

Hi,

we have a one requirement while sending email to the customer.

when CRM user (with user security role) creating a email activity, User should not have permission to send a email to the customer (he will have only create email activity)

User will create email activity and assign the activity to the manager.

Once email is assigned to the manager for checking the email content. He will check the content and he will approve the email. On approving email need to send to the customer

Manager can reject the email and can assign back to the user to correct the email.

Can you please suggest how we can achieve this functionality in CRM.

    Create a Real Time workflow to prevent user to send email. Your workflow should look like this.

    Hi Saroj,

    Thanks for the Answer. Yes I will try this workflow and check.

    This validation should be there only for one security group (service associates) not for other security group.  I will explain the required process for better clarification.

    1. service associate will create activity (should not allow to send email).

    2. Email should assign to the reporting manager of the associates for approval.

    3. if manager approved, email should send to the target list.

    4. if manager reject the email, same should be assigned back to the associate for the modification.

    Harish,

    1. service associate will create activity (should not allow to send email).

    If you want a group of people create email activity but should not send email, then create a team and add them into that and in the above workflow add the condition for the team.

    Hi Harish,

    You can create a custom field (Option Set) on email entity, lets say 'Approval' having values Approved and Reject; by default this field will be blank. Field level security must be enabled on this field and access must be given to managers only.

    Now you can create a Javascript or use Ribbon Workbench to hide 'Send' button on email, if 'Approval' does not contains data.

    Actually you can hide the 'send' button based on security roles as well via javascript, so, choose your suitable method.

    Once the manager approves the email, a workflow can be set up to automatically change the staus of this email to 'send' in the system.

    If Manager rejects this emai, users can also be notified that they need change the content of this email.

    Hi Prashant and Saroj,

    Thanks for the response.

    Yes i have written java script to hide the Send button.

    And I have created business process flow for email activity and enabled that business process flow only for the service associates roles.

    In the business process flow I am handling all these approval and reject steps (created necessary boolean fields).

    Now i am able to create filters on these status.
