GL Account Number

Hello There,

I have a question regarding the account number in Dynamics NAV. Apparently, the field can include a number/characters or a combination. Although, there is no way that I can find which allows me to setup account segments in order to force specific rules and restrictions.

The current account card in our company is : Account Format: 00-00000-00

The account format above includes four segments which are:

Segment one (two digits), the company ID (01, 02 ..etc)

Segment Two (Five Digits) Main Segment

Segment Three (Two digits) Serial Number

Is there anyway I could define these accounts segments before setting the GL account number in the GL ?

    In Standard Navision you don't have a way to define it you need to customize it.

    Normally, chart of accounts is a more or less stable structure, where new accounts are created only by very few authorized persons and not so frequently. Thus, those persons can know exactly the rules and generally there is not needed to keep a special restriction rules. Thus, as mentioned by Suresh, it is not available in standard package.

    However you can always have a possibility to rename the account if it has been named incorrectly. Instead of going for customization, analyze the frequency and probability of possible mistakes - perhaps it would be enough if you will check periodically and correct the account numbers with a simple rename.

    Hi,

    You can always setup the Account Number with manual No. Series.

    As you do not insert / modify the Chart of Account quite often, you can easily manage the COA No. Series manually.  

    You can also create the COA numbers in excel and easily upload with Rapid Start Services.

    Do you face any specific issue within the same?

    I am still concerned about the fact that the account number is a free-of-restriction field, which can be setup randomly regardless of the COA rules.

    would you please elaborate more on the point of having "Manual Number Series" ? Or you mean simply that this is a manual process to be managed out of the system as the system will have no restrictions.

    Yea. That is true. When you setup the Manual No. Series, there is not control / validations by the system, which will not harm the system per say. However due to Organisations need, NAV has such option to have user defined No. Series (Manual) to manage such requirement.  

    You can easily setup the Account No. manually as per Organisation need. In case of any mistake or change, you can always have the option to rename the account code without any hassle.

    You can simply click new on Chart of Account Screen and enter the COA number as per your need manually.
