Managing Activities

(0) ShareShare
ReportReport
Posted on by 60

I'm new to MS CRM 4 and running on a hosted platform.  It seems that there are no good ways to manage sales activities.  This is hard for me to believe because that's what I thought this product should excel at.

I can't add fields to activities, I can't run reports summarizing tasks, appointments, letters, etc. and I can't create new entities that I can add fields to and just relate to activities.  How do other people manage/track the activities of their users?

I would prefer to look at their activities (which just occurred and which will occur) as a management process rather than just look through hundreds of leads, opps and accounts to hope I catch what's happening.

I'd appreciate your thoughts or links to articles on how to acheive what I'm looking for.

Thanks.

While there are some aspects of activities which are still 'hard coded', the situation is not as dire as you fear. First of all, the place to see activity summaries is Workplace-My Work. From here you can see all activities listed, create your own views via the Advanced Find and export the lists to Excel. You can add fields to activities but you have to do it to the specific activity entity i.e. Appointment or Task. Other than creating Excel reports as mentioned above, you can also create reports in SSRS by accessing the filtered activity-specific views in the SQL DB. Hope this helps. Thank you so much for your response.  I'm spending massive amounts of time going nowhere.

As  you say, I can report/view tasks, appointments, emails, etc.  I have alredy added a custom field to each since I can not add fields to the activity directly.  However, there does not seem to be any place that I can view the status of all (or selected) activity types.  As I talk with a Sales person I want to see what they're doing.  I don't want to run a task activity report, then an appointment report, then a email report, and then a letter report.  And, if I run a report/view with more than 1 activity type - I lose access to any custom fields in the activity specific entity.

Similarly, I don't want to run 6 different finds, 6 seperate exports, and then have to conslidate them in Excel.  This is all terribly combersome and likely get little use.

Also, I have been told I can not run custom views of the SQL DB because my hosting company feels I may be able access data from companies other my own.

There is an All Activities view which you can use which shows all activities open and closed and you can create more views which will appear here using Advanced Find and selecting the Entity type of Activity. For example you could create a new Activity view where the owner is 'x'. You may not be able to run custom views but you should be able to access the filtered views which are a standard part of CRM. At worst, you can export dynamically to Excel and hack them there I believe. Leon Tribe Want to hear me riff on about all things CRM? Check out my blog http://leontribe.blogspot.com/
